Position Overview
The Receptionist at Promesa Academy is the face and voice of the school—welcoming students, families, and visitors with warmth, professionalism, and efficiency. As the first point of contact in the front office, the Receptionist plays a vital role in ensuring that daily school operations run smoothly and that all stakeholders feel supported and valued. This individual manages communication, record-keeping, and office logistics with precision and a deep commitment to our school’s mission and culture.

Front Office Management

    • Greet and assist all visitors, students, and staff with professionalism and courtesy
    • Ensure security procedures are followed, including visitor check-in and issuing badges
    • Answer and route phone calls, emails, and messages in a timely and courteous manner
    • Manage the front desk area to ensure it is clean, organized, and welcoming

Administrative Support

    • Maintain student and staff records, including attendance logs and emergency contacts
    • Distribute mail, manage deliveries, and coordinate outgoing correspondence
    • Support the administrative team with clerical tasks such as copying, filing, scanning, and data entry
    • Assist with student check-in/out processes and late arrival tracking

Family & Community Engagement

    • Serve as a key communication link between school and families
    • Provide timely and accurate information about school events, policies, and procedures
    • Help coordinate family-facing events, send reminders, and manage sign-in sheets
    • Translate documents or serve as interpreter if bilingual (Spanish-English preferred)

Operational Coordination

    • Track and order front office supplies and ensure inventory is stocked
    • Maintain school forms and organize key documents for easy access
    • Coordinate with custodial and maintenance teams for any front office-related issues
    • Assist in implementing emergency and safety procedures

Performance Goals

    • Customer Service: 95%+ positive rating visitor and parent satisfaction
    • Communication: Call/email response time Within 24 hours
    • Attendance Tracking: 100% accurate of daily attendance data
    • Timeliness: 100% Office opens and ready by school start time

Qualifications

    • High school diploma or equivalent
    • Excellent communication and organizational skills
    • Proficient with Google Workspace (Docs, Sheets, Gmail, Calendar)
    • Ability to multitask and maintain professionalism under pressure
    • Friendly, positive, and solutions-oriented attitude
    • Bilingual in English and Spanish
    • Experience in a school front office or administrative setting
    • CPR/First Aid certified (or willingness to obtain)
$16.50 - $18.97 an hour
