Position Summary:

The Payroll Specialist is responsible for performing a variety of technical and administrative duties involved in accurately processing Protect Environmental's weekly payroll. The incumbent will set up, compile, and verify data and reports related to payroll. This role is also responsible for ensuring general ledger accounts are reconciled; creates on-going month-end, quarterly, and year-end organization reports; Reconciles payroll deposits, tax withholdings, wage garnishments, and voluntary deductions.
 
Principal Responsibilities:
-Accurately prepare and process weekly multi-state payroll for national company.
-Review, calculate and process payroll changes and adjustments.
-Ensure payroll processing is in compliance with federal, state, and local, wage and hour laws.
-Analyze payroll reports for issues and determine appropriate method for completing adjustments to resolve issues.
-Setup garnishments and levies, processes off-cycle manual checks and termination pay.
-Assist employees in payroll deductions and withholdings, ensuring state and local withholdings are accurate with lived/worked in status.
-Process prevailing wages and certified payroll reports in accordance with Davis Bacon (DB) and Service Contract Act (SCA). Assist operations management with questions on DB and SCA.
-Reconcile transmitting files and payments for taxes, deferred compensation, retirement plans, and garnishments.
-In conjunction with HR, verify that payroll deductions for 401K, medical, dental, vision, dependent’s coverage and other deductions are entered on HRIS system in the correct amount and period.
-Assist with payroll accounting transactions, reporting, and stop payments.
-Maintain general ledger mapping within the payroll system, ensuring accuracy with accounting records.
-Prepare general ledge reports from HRIS to record activity and periodic reports of earnings, taxes, and deductions.
-Compile and reconcile month-end, quarter-end, and year-end reports; prepare tax credit reports and submit to third party vendor as needed.
-Review and distribute W2’s (employee annual earring’s statements) at year end.
-Train employees and managers in the use of the timekeeping system.
-Maintains consistent communication to employees and managers on department changes, resolves employee access issues and other questions in a timely manner.
-Communicate HRIS system upgrades and changes related to payroll.
-Document and maintain written payroll procedures; maintain payroll documentation and files.
-Discuss implementation of required changes in HRIS and upgrades with your supervisor and HR team as needed.
-Other duties as assigned.
 
Education and Experience:
-An associate degree in a related field is highly desired, with three (3) years of progressively responsible experience working in a payroll department. An equivalent combination of experience, education and/or training may be substituted for the listed minimum requirements.
-Previous experience with ADP is required.
-APA or other payroll certification is a plus.

Skills, Knowledge & Abilities:
-Technical knowledge related to payroll processing and procedures.
-Self-starter, with the ability to thrive within a fast-paced, dynamic environment and able to independently move projects forward and prioritize tasks to meet deadlines.
-Strong knowledge of tax and wage laws.
-Good understanding of common fiscal procedures; ability to detect fiscal recording errors quickly and efficiently.
-Growing knowledge of changing technology and industry practices as well as changes in wage and hour laws.
-Impeccable integrity, high degree of discretion, ability to maintain confidentiality and exercise good judgment.

Physical Demands and Work Environment:
-This job operates primarily in an office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
-Prolonged periods of sitting at a desk and working on a computer.
-Must be able to occasionally lift up to 20 pounds.

$50,000 - $65,000 a year
