Rahr Corporation is looking for an Executive Assistant to join our team in Shakopee Minnesota. The Executive Assistant provides high-level administrative support to the Chief Executive Officer (CEO), Chief Financial Officer (CFO), Chief Commercial Officer (CCO), Chief Operating Officer (COO), Vice Presidents, and other senior leaders across the organization. This position is responsible for ensuring seamless coordination of schedules, communications, projects, and priorities across the executive team. This role serves as a central point of contact, enabling leadership to operate efficiently and focus on high-impact organizational objectives.

ROLES & RESPONSIBILITIES:

    • Provide comprehensive administrative support to the CEO and C-suite executives and other members of the senior leadership team. 
    • Manage complex, frequently changing calendars for multiple executives, including scheduling and prioritizing internal and external meetings.
    • Coordinate domestic and international travel arrangements, including detailed itineraries, accommodations, group transportation, and expense reconciliation. 
    • Monitor and prioritize incoming communications, emails, and requests to ensure timely responses and appropriate delegation or follow-up. 
    • Prepare, edit, and proofread correspondence, reports, presentations, internal communications, and other confidential documents. 
    • Serve as a liaison between executives and internal/external stakeholders to ensure consistent communication and follow-through. 
    • Prepares agendas or presentations, attends meetings with the executive, and takes, transcribes, and distributes notes or minutes. 
    • Organize and support executive leadership team and cross-functional leadership meetings. Accountable for preparing agenda items, taking notes, tracking action items, creating presentations, and distributing notes or minutes. 
    • Support the planning, logistics, and execution of board of directors’ meetings, including preparation and distribution of board books and meeting materials. 
    • Serve as a point of contact for board members and stakeholders, managing logistics, travel, and communications as needed. 
    • Support key strategic initiatives and special projects by tracking deadlines, deliverables, and follow-ups. 
    • Ensure executives are prepared for meetings by providing necessary materials and context in advance. 
    • Identify opportunities to improve workflows and introduce efficiencies in administrative processes. 
    • Coordinate the collection and dissemination of information for shareholder updates and annual meetings. 
    • Serve as a point of contact for board members, shareholders, and other stakeholders, managing logistics, travel, and communications as needed. 
    • Manages the philanthropic program for the company.

    • Maintain and update confidential records related to board activities, governance documentation, and shareholder correspondence. 
    • Handle sensitive and confidential information with the utmost discretion and professionalism.
    • Represent the executive team in a professional and approachable manner when interacting with employees, external stakeholders, clients, and board members.
    • Maintain strict confidentiality in all business matters and exercise sound judgment. 
    • Perform additional duties as requested to support, assist, and enhance the company’s goals and objectives.

MINIMUM EDUCATION & WORK REQUIREMENTS:

    • Bachelor's degree in Business, Communications, or a relevant field from an accredited University. 
    • 5+ years’ supporting C-suite or senior-level executives in a fast-paced, high-responsibility environment. 
    • Previous experience supporting a Board of Directors and/or shareholder communications is highly preferred. 
    • Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and tools such as Teams and SharePoint. Experience with Diligent is a plus.
