Who we're looking for

We are looking for a cross functional People & Office Operations Coordinator to help us create an exceptional workplace experience in Poland. This is a hands-on role at the intersection of people operations, HR coordination, and office administration — ideal for someone who thrives in dynamic environments and cares deeply about building a culture where people feel supported, connected, and valued. You will be the local representative of our People Operations team, acting as a bridge between our distributed People Ops leadership and our local teams in Poland, while also supporting selected processes and coordination for our Minsk office. You will help ensure that our workplaces remain welcoming and functional, that our teams feel heard, and that our culture comes to life daily.

What you will do

    • People Operations & HR Coordination (Primary Focus)
    • Act as the local People Operations point of contact for our teams in Warsaw and across Poland, while supporting selected processes for our Minsk office.
    • Coordinate HR-related processes such as onboarding, offboarding, documentation, and benefits administration in collaboration with our People Ops Manager.
    • Ensure new team members have a seamless onboarding experience — from welcome kits and setup to team introductions and process orientation.
    • Support ongoing people initiatives, such as people check-ins, and feedback collection.
    • Monitor engagement and well-being within the team and share insights proactively with your manager.
    • Handle confidential information with professionalism and discretion.
    • Culture & Engagement
    • Champion and promote our company values, helping bring them to life through day-to-day behaviors, communication, and decisions.
    • Plan and execute team-building activities, internal events, and celebrations that strengthen connection and culture in Poland and Belarus.
    • Coordinate recognition efforts and moments of appreciation, celebrating both individual and team milestones.
    • Celebrate milestones, birthdays, and personal events with thoughtful, consistent gestures that reflect our values.
    • Office Operations & Administration
    • Oversee daily office operations in Warsaw — supplies, equipment, vendors, and overall environment.
    • Support the People Ops Manager with coordination or logistics related to the Minsk office when needed.
    • Ensure both offices remain inviting, functional, and aligned with our company culture and values.
    • Manage relationships with local vendors (cleaning, maintenance, suppliers) and handle invoices or purchase orders as needed.
    • Support insurance and benefits-related paperwork in collaboration with the People Ops and Finance teams.

What You Bring

    • 3+ years of experience in People Operations, HR coordination, or employee experience, ideally within an international or tech environment.
    • Familiarity with Google Workspace, Slack, Notion, or similar tools.
    • Excellent communication skills in English (B2+) and Russian; Polish (B1+) is a strong plus.
    • Proven ability to organize events, manage logistics, and communicate across distributed teams.
    • A strong sense of accountability and reliability — you do not let things fall through the cracks.
