The People Operations Specialist reports to the Manager of People Systems and Operations and is responsible for providing day-to-day support to our teams in Mexico and managing employee life cycle changes. You will respond to questions from our Mexico team, manage employee data changes, and ensure data integrity through regular audits. You will also provide reporting and data analytics on our Mexico population and act as Facilities liaison to the building management company. The ideal candidate is highly detail oriented, a proactive problem solver, and committed to ensuring an excellent experience for our Mexico team.
How you'll add value:
- Support day-to-day needs for the R365 Mexico team, providing effective and timely solutions. Escalate questions as needed to ensure appropriate resolution.
- Proactively identify opportunities to streamline processes and improve the employee experience.
- Process employee life cycle transactions, from new hire to termination, ensuring data accuracy and with an understanding of downstream impacts to changes.
- Create and update knowledge base articles to ensure our internal processes are documented and up to date.
- Support employee data requests from the business and leaders, to support data driven decisions.
- Oversee the submission and tracking of monthly and ad hoc invoices to ensure timely and accurate payments.
- Serve as the primary point of contact between the company and building management for all facilities-related matters.
- Coordinate employee access to the building, including managing security badges, key cards, and visitor registration.
- Support onboarding and offboarding processes related to workspace access and security credentials.
- Address and escalate facilities issues (e.g., maintenance, cleaning, HVAC) with property management in a timely manner.
- Monitor shared co-working space usage and ensure it meets employee and operational needs.
- Communicate facility updates, closures, and procedures to relevant employees and stakeholders.
- Maintain supplies and equipment for shared spaces, ensuring functionality and cleanliness.
- Collaborate with IT and HR to ensure workspace readiness for new hires or team changes.
- Coordinate in office events and create a fun and engaging work environment for the team.
What you'll need to be successful in this role:
- 3+ years of experience working in HR Operations or related areas
- Experience using HR Systems to manage employee data and processes. Experience with Workday is preferred.
- Knowledge of Mexico HR compliance, processes, and best practices
- Experience managing the day-to-day operations of an office space
- Experience managing vendor relationships
- Excellent English written and verbal communication skills; ability to communicate clearly with peers and employees
- Must be process oriented, with a focus on continuous process improvement
- Experience auditing HR data to ensure data integrity
- Experience building out process workflows, SOPs, and other process documentation
