POSITION OVERVIEW:
This position is responsible for assisting the Senior Operations Manager in the day-to-day maintenance, appearance and physical operation of the buildings and exterior grounds. Ensure that building, mechanical systems and equipment are properly maintained to high standards and all reporting requirements are met.
RESPONSIBILITIES:
- Regular inspections of interior and exterior common areas of the assigned properties. Duties include inspecting parking lot, landscaping, waste and service areas/rooms, interior mall space etc. to ensure cleanliness and high standard of functionality and appearance, including weekly inspection of all valve rooms including anchor stores and report findings on Fire Protection Inspection Form;
- Supervises, motivates and trains assigned staff, ensuring effective teamwork, accountability, high standards of work quality and organizational performance, continuous learning and encourages innovation in others;
- Supervises and schedules activities of both contracted and in house services ensuring efficiencies (including Trades, electrical, custodial, HVAC and Pest Control);
- Supervises the day-to-day operation of all assigned staff including the scheduling, assigning and reviewing of work. Authorizes and coordinates vacation and overtime requests. Monitors and evaluates staff performance;
- Oversees the Preventative Maintenance Program for general repairs and/or replacement of equipment and systems to ensure uninterrupted service delivery to the properties;
- Monitors the Preventative Maintenance Program on all building systems utilizing in-house and contracted services. Schedules and assigns staff in the utilization and maintenance of all computerized Building Automation and work order systems;
- Responsible for ensuring all regulatory and compliance obligations are met;
- Audits and tracks life cycle of building equipment for replacement;
- Ensures the installation, repair and safe operation of all heating, cooling, plumbing, electrical, life safety and architectural/structural system;
- Continuously seeks ways to gain greater efficiencies through activities such as recommending and implementing industry best practices, collaborating with internal teams to implement sustainable practices and improvement initiatives;
- Conducts site visits and quality assurance audit inspections with contractors;
- Test fire alarm system to ensure good operation;
- Inspect and actively seek out any potential hazards/liability and immediately address same;
- Monthly site reporting including Health and Safety report, Fire Inspection Report, Property Audit Report, and Property Inspection Reports;
- Maintain log books and records pertaining to inspections, building, health and safety;
- Oversee contractors working on maintenance repairs and new construction;
- Address health and safety issues by identifying potential hazards;
- Report promptly to tenant requests and enquiries. Act on service requests and follow-up with Tenant;
- Perform regular inspections of building including tenant spaces, public areas, storage and service rooms, roof and exterior grounds to ensure cleanliness, safety and proper maintenance;
- Complete meter readings for all utilities;
- Regularly check security lighting for buildings and interior/exterior common areas and for the Pylon signage;
- Inspect the roof pitch pans, flashing, bare spots and extension joints for potential water penetration;
- Obtain quotations for property maintenance and repairs for the budget preparation process;
- Special project work, i.e. research base-building drawings for leasing, obtain quotations for property maintenance and repairs, purchasing, annual budget process, etc;
- Review all pertinent issues at the property with Operations Managers;
- Perform On-Call duties (rotating shift) as required including responding to emergency calls (24h) per day, and report promptly to Senior Operations Manager as required;
- To meet or exceed the annual goals and objectives set by the Senior Operations Manager;
- Other duties / projects as assigned.
QUALIFICATIONS:
- 3 - 5 years of previous relevant experience;
- Good experience and understanding of Plumbing, Mechanical/Electrical systems, HVAC, Fire and life Safety and Building Automation systems;
- Considerable experience in planning, scheduling and coordinating work activities of staff and contracted professionals;
- Considerable experience in leading, coaching, training and mentoring staff, while providing work direction and hold people accountable;
- Customer service-oriented;
- Exceptional communication skills;
- Ability to work independently and within a team;
- Proficient in Word, Excel and Outlook;
- Knowledge of blueprint reading and interpreting specifications and standards;
- Must have valid driver’s license and access to vehicle daily.
