An Administrative Assistant aids in the coordination and execution of department production, administrative support functions, and maintains their own firm-related responsibilities. Their customers include external clients as well as internal team members. Individuals in this role are expected to be client service oriented in all aspects of their job and work as a team. 

Learn and Leverage Software and Administrative Processes

    • Produce and distribute client organizers / document requests 
    • Create and manage workflow and projects to insure timely filing 
    • Production reporting
    • Act as champion for administrative processes and software 
    • Work with IT to maintain integrity of information and client data for roll forward and client portals 

Processing Client Deliverables

    • Generating and/or processing templates 
    • Format financial statements, draft packages, and related correspondence 
    • Reconcile and process client documents  
    • Process tax extensions, tax returns and e-filing 
    • Execute lock-down process 

Works with Team Leaders & Department Heads to Maintain Compliance

    • Drive Annual PTIN renewals for professional staff 
    • Assist with document reconciliation for Peer Reviews 
    • Updating, as needed, compliance due dates and deliverables  
    • Execute year-end clean up processes 

Requirements

    • Minimum 1 year of experience in an professional services firm with a preference for a public accounting firm 
    • Proficient typist (40> wpm) with excellent written and verbal communication skills  
    • Working knowledge of tax and/or business software as needed 
    • Results oriented problem solver with ability to multi-task and meet deadlines 
    • Proficient in Microsoft Suite specifically, Outlook, Word, Excel and PowerPoint 
    • Ability to use office equipment, including but not limited to a computer, copier, and telephones as well as related software programs 
$43,000 - $54,000 a year
