The Opportunity
Reporting to the Manger, Support Services, this position is temporary full-time salaried. You are responsible for providing administrative support to the Academic Chairs of apprenticeship and diploma programs. As a Program Administrative Assistant, you will have the opportunity to collaborate with other administrative team members.

The Role
- Respond to information requests from students, staff and general public
- Assist and work collaboratively with Academic Chairs and faculty on administrative tasks
- Meet with students who have inquiries or issues to determine next steps
- Track instructor hours and maintain tracking database
- Enter and prepare load verification for instructors
- Process forms, claims and substitutions
- Assist with booking travel and reconciling visa statements
- Event planning including booking venues and ordering catering
- Liaison with other departments at SAIT as required
- Taking minutes at team meetings and program advisory committee meetings
- Contribute to the effective operation of the school by performing cover-off reception and administrative duties when needed
- Other duties as needed
Qualifications
- Minimum high school diploma or office administration diploma/certificate, supplemented with at least 2 years office experience is required
- An equivalent combination of experience and education may be considered
- Highly prefer work experience in a post-secondary environment
- Strong ability to work independently and make sound decisions or recommendations with limited direction
- Highly customer service focused, willing to assist others and achieve team goals
- Exceptional verbal and written communication skills, and ability to build positive work relationships
- Excellent multi-tasking and organizational skills; flexible and able to manage changes on short notice
- Committed to quality and meeting deadlines, with a keen eye for accuracy and developing process improvements
- Intermediate to advanced level proficiency in Word, Excel, PowerPoint, Visio and Outlook. Microsoft Office Specialist (MOS) Certification would be an asset
- Working knowledge of BANNER, SOLAR, DCU, ATOMS, and learning management systems is an asset
