Office Assistant (Contractor)

We are seeking a highly organized and responsible individual to work as part-time contractor in our office administration team. In this contract you will perform clerical tasks supporting the office. Other duties will include assisting the Office Manager and VP with setting appointments, preparing documents, organizing files, receiving and processing shipments, Inventory tracking and generally keeping the office organized, tidy, and running smoothly.



Responsibilities:

    • Perform clerical duties, take memos, maintain files, and organize documents; photocopy, etc. as needed
    • Help prepare reports, presentations, and data
    • Schedule appointments and meetings for executives
    • Prepare information and research for executives needs
    • Prepare shipments and receive incoming mail, deliveries, packages, and couriers
    • Assist with tagging inventory
    • Assist with purchasing office supplies
    • Set up, break down, organize, and maintain conference rooms, training rooms, and meeting rooms
    • Assist in planning company events, meetings, luncheons, and employee team building activities or special projects

Requirements:

    • High school diploma or equivalent;
    • Prior experience handling office responsibilities, experience in customer service, or related field
    • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars
    • Excellent written and verbal communication skills
    • Highly organized multitasker who works well in a fast-paced environment
    • Willingness to learn and to grow with the company
    • Knowledge of “back-office” computer systems (ERP software)
    • Excellent organizational and time management skills
    • Analytical abilities and aptitude in problem-solving
