We’re in an exciting phase of growth and are looking for a Business Support Officer (Legal) to be based in Hobart, Tasmania. This is an administrative role, responsible for assisting the Business Support Team and Legal Counsel, as well as providing general support across the Operations Department and the company as a whole.

The role.

Our Business Support Team sits within the Operations department. You'll report directly to our Business Support Lead, Helen Kershaw. On a day-to-day basis, you'll work closely with all members of the Business Support Team, including the CFO, as well as our Legal Counsel, and members of the wider Operations department.

What you'll do.

    • Project support
    • Facilitation of document execution
    • Meeting administration (minuting and coordination)
    • Responding to users’ legal queries with oversight and support from legal counsel
    • Supporting the development and maintenance of policies, procedures, and systems
    • Preparation and formatting of basic legal documents with oversight and support from legal counsel
    • Business support and administration tasks including making and managing bookings with third-party service providers, email categorisation, document filing and supporting visitor services.

Skills.

    • Excellent attention to detail

    • Excellent written and verbal communication
    • Experience with file and database management
    • Excellent organisation and time management skills
    • Ability to adapt to competing and changing priorities
    • Second language speaker, Chinese (desired not essential)
    • Experience in commercial law, in particular IP law (desired)
    • Experience in a legal setting, e.g., as paralegal, clerk, personal assistant, etc.
    • Strong computer skills, including use of Outlook, Word, and Excel, with the ability to quickly pick up new systems and programs

In 1-3 months, you will...

    • Familiarise yourself with our team structure and workflows
    • Complete the Procreate onboarding process and get to know your colleagues
    • Build an understanding of our administrative and legal practices, processes and frameworks
    • Begin to develop relationships with key stakeholders, team leaders and members of the executive team

In 3-6 months, you will...

    • Establish relationships with inter-departmental key stakeholders
    • Prepare and support the execution of key business support projects
    • Provide general administrative support within the business support Team
    • Begin identifying areas for operational improvement and take ownership of first initiatives

In 6-12 months, you will...

    • Become familiar with users’ standard legal queries
    • Become an integral and contributing part of the Business Support Team
    • Demonstrate an understanding of Procreate’s suit of contracts, including when and how each is used
    • Develop an understanding of Procreate’s trade mark and patent portfolio, and approaches to managing trade mark infringements and licensing
