The Administrative Assistant is the first point of contact for visitors and clients, and provides general administrative support to all departments. Successful applicants will exhibit key organizational skills, be highly motivated and self-directed, and present strong customer service for internal and external clients.

Duties and Responsibilities

    • Monitor front door reception area and answer multiline phone system; greet/escort clients and other visitors 
    • Keep departments stocked with office/laboratory supplies and order supplies via Amazon and Staples; maintain supply request forms 
    • Assist facilities department with scheduling vendors  
    • Monitor documents, including mail and packages, and deliver to other Serán sites (within a 2-3 block radius) 
    • Assist in setting up onsite interviews and travel arrangements 
    • Assist with scheduling meetings, general assistance with Directors' calendars as needed
    • Maintain general cleanliness of reception areas and conference room
    • Order catering for events
    • Assist with general administrative tasks as needed
    • May assist with new hire onboarding
    • Other related duties as assigned

Required Skills and Abilities

    • Professional and friendly demeanor
    • Excellent verbal and written communication skills
    • Proficiency in Microsoft Office Suite or related software (3 years preferred)
    • Ability to learn quickly and respond/react to changing priorities, in a fast-paced environment
    • Excellent time management skills and dedication to task completion

Education and Experience

    • High school diploma or equivalent
    • At least one year of experience working in a client-facing administrative role

Physical Requirements

    • Prolonged periods of sitting at a desk and working on a computer
    • Must be able to lift up to 15 pounds at times
