Position Summary:
The Administrative Assistant will work directly with multiple executives and will be responsible for performing a number of administrative duties. The successful candidate will provide a wide range of high-level administrative support to company executives by coordinating communications, scheduling meetings, and managing itineraries across multiple departments. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.
Tasks/Duties/Responsibilities:
- Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
- Prepare internal and external corporate documents for team members and industry partners
- Schedule meetings and appointments and manage travel itineraries
- Ensure senior leaders are prepared with all materials and information for meetings and events
- Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
- Maintain an organized filing system of paper and electronic documents
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and customers
Knowledge/Skills/Requirements:
- 2-year degree strongly preferred
- Minimum of 1+ year(s) of experience as an Administrative or Executive Assistant reporting directly to senior management or senior administrative assistant or equivalent experience
- Advanced Microsoft Office skills, with an ability to become familiar with site-specific programs and software
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Exceptional interpersonal skills
- Friendly, courteous and professional demeanor
- Strong sense of urgency, adaptability, flexibility and resourcefulness
- Ability to work well with all levels of internal management and staff, outside clients and vendors
- Demonstrated business communications skills (oral and written)
