We are seeking a versatile Office Administrator & IT Assistant to fulfill a dynamic role that combines office management and technical support responsibilities. This individual will play a crucial role in ensuring a smooth and efficient work environment for our team in the UK and EMEA.

Office Administrator Role Specific Job Duties:

    • Office Management: Oversee day-to-day office operations, including reception, mail, event support, and supplies.
    • Facility Maintenance: Ensure the office is well-maintained, including conference room tidiness and arrangement of repairs with Building Management.
    • Kitchen Management: Maintain kitchen conditions, manage supplies, and coordinate food deliveries.
    • Security Access: Manage security access cards for employees.
    • Administrative Support: Provide administrative support to the team as directed, including ad hoc projects.
    • Vendor and Vendor Management: Serve as the point of contact for building management, security, and various vendors.
    • Meeting Scheduling: Assist with scheduling meetings for the People Team and Executives.
    • Shipping: Handle weekly FedEx shipping responsibilities.
    • Event Coordination: Assist with in-office or off-site activities, catering, volunteer events, celebrations, and conferences.

IT Assistant Role Specific Job Duties:

    • Ticket Management: Assign and maintain the ticket queue, ensuring timely resolution of technical issues.
    • Inventory Management: Manage office inventory and procurement, including hardware and software assets.
    • Deskside Support: Offer deskside support for hardware and software troubleshooting.
    • AV Troubleshooting: Perform basic audio-visual troubleshooting when necessary.
    • Escalation: Escalate critical technical issues to the IT Support Manager for resolution.
    • Customer-Oriented Support: Provide patient and effective support, ensuring excellent communication and customer service.
    • Feedback Mechanism: Gather and pass on employee feedback or suggestions to the relevant internal teams.
    • Continuous Improvement: Identify and suggest possible improvements in procedures and technical support processes.

Office Administrator Required Skills / Experience:

    • 2+ years' experience in a Front Office Manager or Administrative Assistant role (similar experience considered).
    • Proficiency with office administration responsibilities, systems, and procedures.
    • Familiarity with Gmail tools, including Google Calendar.
    • Strong time management, organizational, and problem-solving skills.
    • Excellent written and verbal communication skills.
    • Create a supportive environment for employees to be successful.
    • Ability to manage a budget for events

IT Assistant Required Skills / Experience:

    • Strong technical knowledge, including experience with Mac and PC operating systems.
    • Excellent communication skills and customer-oriented attitude.
High School diploma required; College degree preferred; additional qualifications as an Administrative Assistant or Secretary are a bonus. Understanding of diversity, equity, and inclusion principles is a plus.
