Scope: The Administrative Assistant performs administrative and general office duties, assists with coordinating chapter activities and meetings, interacts with volunteers, and responds to routine inquiries from members, volunteers, and the general public.

Job activities include but are not limited to:

    • Provides clerical and administrative support to Chapter Director, Executive Committee, Chapter Staff and volunteer leaders. May conduct routine research on specific issues and assist in publishing newsletter. 
    • Maintain organizational databases. Develops and regularly maintain mailing lists, activist lists, membership, donor, volunteer, supporter and contributor lists. Edits member information in Salesforce and internal databases in collaboration with staff and volunteers.
    • Basic bookkeeping duties. Maintains appropriate records for accounts payable and receivables. Maintains records and classifies expenses and income. Processes and records gifts using Salesforce.
    • Engages with other staff, members, volunteers and the general public. Responds to inquiries concerning membership, outings, events and environmental issues. Reviews and routes incoming mail, emails and voicemails as appropriate.
    • Maintains office functions and encourages processes that improve efficiency. Maintains office supplies, equipment and computer systems with the assistance of national teams. Contacts vendors for repairs and maintenance. Performs miscellaneous duties as directed, within reasonable alignment of position work scope.
    • Assists with scheduling and supports meetings and events as needed. Assists with preparation of the agenda and takes minutes as needed.
    • Assists with fundraising: In cooperation with fundraising staff, assists in the development and execution of donor events, solicitation efforts and reports to donors.

The successful candidate must demonstrate the following skills, experience and competencies:

    • Proficiency with Google Suite, Zoom, and Microsoft Office including word processors, spreadsheets, and databases.
    • Excellent written and oral communication skills.
    • Ability to interact effectively with volunteers, members, staff and the general public.
    • Experience with event planning, including managing logistics, communicating with members and other invitees, and preparing related materials.
    • Basic bookkeeping skills.

The strongest candidates will also demonstrate the following skills, experience and competencies:

    • Experience with Salesforce, QuickBooks, or other database management systems.
    • Familiarity with standard office equipment, including fax machine, copier, etc.
    • Basic understanding of environmental and environmental justice concepts.
    • A strong commitment to Sierra Club’s mission and values.
$40,125 - $40,125 a year
Compensation and Benefits
The salary for this position is $40,125 annually, non-negotiable.

This is a category 07 non-exempt, PWU-Chapter represented, professional position.
