Scope: The Chapter Coordinator performs various operations and finance duties to support the daily operations of the Chapter office (remote or physical) and is an information resource for chapter volunteers, members, and the general public. Responsible for regular bookkeeping and meeting reporting requirements. Maintains the Chapter’s and the PAC’s financial records and performs purchasing, accounts payable, and cash receipt functions. Spearheads the Chapter's fundraising appeals, manages the Chapter’s donor data, and handles gift acknowledgments.
Job Activities:
- Oversees office operations and fulfills all administrative functions. Ensures staff have adequate supplies, equipment, and access to work space. Works with vendors to maintain service contracts. Ensures that all office-related policies and procedures are followed. Manages and inventories supplies in the storage unit for staff use. Assists the Director and other Managers with onboarding new staff members. Picks up and processes mail from P.O. Box.
- Fulfills all reporting requirements for the Sierra Club and other entities. Tracks and submits quarterly lobbyist and principal expense forms to the NC Secretary of State. Collaborates with the Communications Manager and volunteer leaders to update all leaders' lists after the Chapter and Group annual elections.
- Performs regular bookkeeping functions for the Chapter. Deposits and records all cash receipts and maintains documentation of all revenue and expense transactions. Disburses payments in compliance with chapter approval processes. Prepares reimbursement requests of national Club and Sierra Club Foundation. Coordinates with the Treasurer to help facilitate the reconciliation of bank accounts. Liaises with contractors as needed to ensure compliance with financial requirements. Assists the Treasurer as necessary to obtain financial information from local volunteers and national Sierra Club finance staff for submitting year-end financial reports.
- Provides frontline member and donor support and facilitates Chapter fundraising efforts. Responds to, or directs to other staff when appropriate, phone and email inquiries from the general public, members, and volunteers concerning membership, outings, environmental issues, and other matters. Collaborates with Chapter Fundraising and oversees creating and mailing club-designed fundraising appeals. Recruits and trains volunteers to assist with hand-addressed envelopes and handwritten notes to priority donors. Enters donations into the constituent management database, tracks donations, and prepares donor acknowledgments. Generates fundraising reports and provides donor data to Chapter volunteers.
- Provides cross-functional coordination, support, and collaboration for chapter projects. Maintains Chapter calendar and organizational management dashboard.Ensures teammates are prepared, informed, and empowered to use the tools for ongoing revisions and additions. Maintaining these tools provides all staff with increased visibility and knowledge of timelines and projects.
- Responsible for meeting and event logistics. Plan and coordinate events, conferences, and special projects as needed with Chapter stakeholders. Uses online platforms to create events and take registrations. Makes bookings, arranges meal logistics, and travel arrangements. Provides in-meeting administrative support and supplies when needed.
- Leads on Equity. Supports efforts to implement National and Chapter equity and inclusion goals and Multi-Year Equity Plan outcomes across staff and volunteer leaders. Works to build a more equitable, just, and inclusive Sierra Club.
The successful candidate must have the following skills and experience:
- Strong organizational and project management skills to balance multiple projects and deadlines, including the flexibility to adjust activities and priorities as needed.
- Demonstrated experience with bookkeeping, accounting on a cash and/or accrual basis, or comparable training and education.
- Knowledge of QuickBooks, NetSuite, or comparable online bookkeeping systems
- Proficiency with Microsoft Office and G-Suite tools, particularly Excel and Google Sheets.
- Ability to export and manipulate financial and other data. Familiarity with Salesforce or comparable constituent database management systems. Strong customer service orientation; can interact effectively with volunteers, members, staff, and the general public.
Strong Candidates will bring the following characteristics and/or experience:
- Strong written and oral communication skills.
- Proficiency with Adobe
- Experience training volunteers
- Ability to adapt to changing priorities in an evolving environment
- Demonstrated commitment, as well as knowledge and experience with environmental issues
$60,000 - $60,000 a year
Compensation and Benefits
The salary for this position is $60,000 annually.
This position is represented by a collective bargaining unit and is subject to the terms and conditions of the contract between Sierra Club and Progressive Workers Union.

This is a Category 6, non-exempt, represented position.
