Role Summary
The HR Coordinator is a dedicated and detailed go-to HR person to support Philippine operations in the human resource organization. This role serves a key role in the HR organization and requires an individual who can deliver with excellent tactical day-to-day (but not insignificant) operations related to HR Operations and HR Administration at Sophos.
What You Will Do
- This role will be supporting the HR Manila Group - HRBP and Operations Team and will be located in our Manila office. The HR Coordinator will:
- Partnering with the Talent Acquisition team to ensure a smooth and seamless onboarding process for new hires.
- Manage the onboarding procedures such as pre-employment activities, orientation, and probationary period
- Works closely with Facilities and Admin, Finance, and IT Departments to facilitate the employee onboarding process; ensuring all new hires are properly set up with all necessary accounts, equipment, and access before their first day.
- Assist HR in drafting employee notices, such as but not limited to:
- Regularization/End/Extension of probationary period
- Bank endorsement for termination of account for exiting employees
- Bank endorsement for the creation of an account for new employees
- Manage the offboarding process for employees leaving the organization, including employee records management, processing paperwork, and confirming that all company assets are returned.
- Ensures speedy resolution of employee concerns related to benefits administration, claims, and hospitalization. Liaise with the group insurance providers for employee claims.
- Handles statutory benefits and regulatory compliance related to employee government benefits (SSS, Pag-IBIG, PhilHealth, and BIR).
- Monitors government loan applications from employees
- Handles company-initiated benefits and ensures 100% service delivery to the employees. This will not be limited to the company HMO, health insurance, allowances, and other benefits.
- Attendance and Leave management.
- Collates timesheets from business units every cut-off for payroll submission.
- Partners with the Payroll Team for the payroll processing, report generation, and all related payroll entries for employees and leavers
- Supports the complicated and escalated cases related to timekeeping and payroll challenges.
- Manages the HR JIRA Ticketing System and ensures PH HR adheres to the strict TAT response and closure indices for the tickets lodged by employees.
- Partners with the HR COEs on HR Systems and Reporting, HR Analytics, Learning and Development System, Lever for Talent Acquisition
- Utilizes Human Resources Information Systems (HRIS) to maintain employee records, maintains accurate employee records in HR Systems, HR Team Channel for the P-Files, ensures confidentiality and compliance, and generates management reports.

What You Will Bring
- Graduate of HR or any related course.
- At least 2 years HR and Recruitment Administration experience.
- Works in a well-organized manner and is keen to details.
- Familiarity with Philippine governmental reporting requirements (SSS, HDMF, Philhealth, BIR)
- High level of confidentiality in dealing with sensitive information.
- Familiar with HR operating system will be a plus point.
- IT savvy
