Kids in Need of Defense (KIND) is a global leader in the protection of unaccompanied and separated children who are forcibly displaced from their countries of origin. Launched in 2008, KIND champions a world in which every child’s rights and well-being are protected throughout their journey to safety.

Position Summary:
 
KIND seeks a Senior Office Coordinator located in our San Francisco location. This position reports to KIND’s Office Operations department. The Senior Office Coordinator will ensure the efficient and effective day-to-day operations of KIND office(s), through management of key administrative priorities and by collaborating across organizational functions and components including Office Operations, Technology, Finance, and Human Resources. The Senior Office Coordinator reports to the Facilities Manager.

Essential Functions:

    • Ensures the smooth operation of KIND’s San Francisco office location by overseeing and coordinating local facilities-related matters, managing meeting spaces, receiving and sorting mail and packages, maintaining supplies, inventory, equipment, and overall tidiness of the office.
    • Assists with monthly budget reconciliation tasks in collaboration with the Managing Director and Finance.
    • Liaises with and oversees contractors and vendors to enable facilities maintenance and repairs.
    • Assists with onboarding and offboarding processes for staff and interns, including the deployment and collection of equipment.
    • Ensures the setup of accounts, equipment, and workstations for new hires and provides troubleshooting assistance.
    • Ensures safety, operational, and institutional policies and protocols are kept current and successfully implemented locally.
    • Develops proficiency and clear understanding in the use and maintenance of office systems, equipment, and technology, and assist staff as needed.
    • Provides day-to-day support to staff, ensuring their technological, operational, and office-wide systems needs are met.
    • Manages the field office general email inbox, triaging to applicable parties as needed.
    • Provides support to the Office Operations team with ongoing projects and operational initiatives, executing the goals and objectives of the function.
    • Provides remote support to the Fresno office location, addressing facilities, operational, and budget reconciliation matters.
    • Collaborates with the Managing Director for assigned locations to establish and discuss weekly goals and priorities.
    • Oversees and arranges onsite meeting spaces, ensuring they are set up appropriately for various activities.
    • Liaises with other organizational components and functions and perform other duties as assigned.

Qualifications and Requirements:

    • Bachelor’s degree required.
    • Minimum of 3 years of experience performing administrative office duties.
    • Occasional travel required to visit remotely supported offices.
    • Must be fully fluent in English; fluency in Spanish preferred but not required.
    • Excellent written and oral communication skills in English and Spanish preferred. 
    • Working knowledge of Microsoft Office Suites (such as Teams, Excel, etc.). 
    • Ability to work collaboratively and multi-task in our KIND environment, managing numerous priorities and emerging opportunities.
    • Excellent organizational skills with ability to work on multiple projects in a deadline-oriented environment. Ability to prioritize tasks and to delegate as appropriate.
    • Ability to work effectively with people of diverse backgrounds, lived experiences, and communication styles.

$21.80 - $27.24 an hour
