About the role
Reporting to the Laboratory Operations Manager, the Facilities and Procurement Administrator will play a pivotal role in supporting our scientists, ensuring they have the resources they need to carry out scientific research within our well-equipped and cutting-edge laboratories. The role holder will also help to coordinate key deliveries relating to the research and discovery of novel drug compounds.
Role responsibilities:
Procurement:
- Processing orders, including:
- General admin work – filing, answering phones, receipt of deliveries.
- Dealing with incoming enquiries.
- Ad hoc duties as required.
- Managing scientific licences, reporting and correlation of accurate records relevant to company procedures.
- Raising purchase orders (scientific reagents)
- Placing orders with suppliers
- Sourcing
- Matching delivery notes to invoices – dealing with shortages, damages and any discrepancies.
- Liaising with suppliers (order follow up, researching comparisons, etc)
Facilities:
- Monitoring, ordering and replenishment of non-scientific consumables, e.g. stationery, provisions, cleaning products, etc
- Reconciliation of facilities order queries with suppliers and/or Finance
- Inputting and managing equipment maintenance records, including PAT testing & PPM
- Maintenance of Safety Training Records, e.g. H&S/Fire/First Aid, etc
- Control and facilitation of the archiving of company record
- Coordination and reception of external Facilities visitors, e.g. contractors, engineers, suppliers, etc
- Supporting the Laboratory Technician team in various ad-hoc administrative activities
- Taking minutes in weekly facilities meetings
Candidate requirements:
- A can-do, enthusiastic work attitude
- Strong administrative skills with excellent attention to detail
- Experience working in an administrative environment would be beneficial
- Excellent verbal and written communication skills
- Strong organisational and time management abilities
- The ability to work to deadlines in a safe and efficient manner
- The ability to prioritise tasks

- Effective communication skills and the ability to work well within a team
- Flexible and able to work independently
