The Executive Assistant reports to the Executive Director or designate of the Tech Talent Project and provides key administration support and project management to the senior leadership team.

Essential Responsibilities and Tasks

    • Coordinate the senior leadership team’s calendars, including scheduling meetings as requested, proactively addressing conflicts, and making sure the senior leadership team is prepared for and on time for meetings and events
    • Coordinate the leadership team’s travel, including booking travel and handling receipts, expenses, and reimbursements
    • Provide operational support to as requested (ie: steering committee meeting logistics, onboarding new employees with equipment)
    • Ensure the leadership team is prepared for and on time for meetings and events
    • Work closely with team, leadership, advocates and others to proactively schedule meetings for the leadership team
    • Lead operational support for steering committee and other external meeting logistics 
    • Coordinate hiring processes in consultation with the Executive Director or designate, including creating job descriptions, building interview processes, engaging with prospective employees and onboarding new hires
    • Ensure tools and processes are in place to appropriately manage contractors and other personnel
    • Lead employee engagement efforts and our intern program to build a positive remote work experience
    • Support efforts to ensure interns are engaged, effective, and feel valued
    • Lead day to day engagement with fiscal sponsor to manage back office operations (accounting, payroll, office space, insurance, legal, etc)
    • Track tasks and deliverables for projects as requested
    • Manage expenses, including providing oversight and guidance to rest of staff in partnership with the Executive Director or designate
    • Maintain comprehensive and accurate records
    • Track tasks and deliverables for projects as requested

Required Education, Experience, Knowledge, Skills and Ability

    •  2-5 years experience leading operations, managing projects, and supporting a team
    • Experience with budgeting and financial management
    • Familiarity with the tech industry and/or government

Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability

    • Familiarity with government, politics, and campaigns preferred
    • Experience with project management
    • Experience with startups and/or remote teams

Salary: $60,000 -$85,000
