Project Assistant I

This position is responsible for providing technical and project administrative support for various contracts/customers.
Essential Functions
- Prepares documentation to support team and creates, updates and monitors timeliness of project plans. Takes meeting minutes and documents action items. Assists with writing and formatting project documents, technical papers and presentations. Coordinates project documentation from multiple sources. Communicates with internal/external customers in a professional manner. Escalates issues through appropriate channels, following established hierarchical protocols between clinical and non-clinical staff members.
- Performs support functions including scheduling onsite and off-site meetings and conference calls, answering phones, monitoring email inboxes, ordering supplies, copying and distributing correspondence. Coordinates schedules for team members. May create a master planning calendar of contract events. Coordinates set up for new hires. Ensures files are up to date and accurate.
- Monitors status of deliverables, data processing and reporting schedules. Reports variations or discrepancies to management. Ensures files are up to date and accurate.
- Performs miscellaneous duties as assigned.
Requirements
- Two-year degree in business, healthcare, IT or related field and/or equivalent training and/or experience; 2 years’ experience in project administrative support; demonstrated ability working with confidential information and in a deadline driven environment; demonstrated ability to effectively multi-task and problem solve.
- Because of the nature and immediacy of the work, the ability to maintain regular and predictable attendance is essential.
