TextNow is hiring an Executive Assistant to support our SVP of Product & SVP of People. Your job is to keep things running smoothly for these individuals and their teams. You'll handle a lot of different priorities, like organizing schedules, being the go-to person for the executives, setting up meetings, planning events, managing the budgets, arranging travel, and making sure meetings go smoothly one after another.

The ideal candidate is a direct communicator, can take charge when needed, and is confident in their abilities. You should be good at spotting problems early and love solving them. Your communication should be top-notch, and you should be good at paying attention to the details. If you've been an executive assistant before and can handle lots of different tasks that might change from time to time, you're the kind of person we're looking for.

We’re looking for someone who can be in our Waterloo office 2-3 days a week for direct 1:1 time with our SVP of Product and teams in the Waterloo office.

    • Physically able to be in Waterloo Office 2-3 days a week minimum.

      What a normal day could look like:
      Daily standup with your primary executives
      Running staff meetings with director/VP teams + your executive partner:
    • Taking & tracking action items
    • Following up on key items from last meetings
    • Keeping the team on track and effective
    • Organizing, coordinating, and managing travel and meetings that are coming up. Key project management tasks for work you are managing, related to team performance and execution:
    • Stakeholder communication
    • Producing work collateral
    • Status updates & presentations
    • Helping to create strategic business materials for team alignment and communication, including board materials, roadmaps, strategy documents, etc.
      Identifying key gaps in team collaboration and helping implement solutions to improving team efficiency and collaboration
