About The Role
As Executive Assistant, you will provide operational administrative support to our Digital Leadership team, across product, engineering, data, and growth teams. Understanding basic company organization, working relationships and business partner roles and responsibilities is important as this position will work closely with other teams across The Athletic. This candidate is able to work successfully in a team environment, build effective working relationships inside and outside of the group, while keeping abreast of general business objectives, policies, standards, services and processes. As Executive Assistant, you will represent The Athletic brand, to both internal colleagues and external clients, and proactively approach tasks and requests effectively.
The ideal candidate is based in the greater New York City metropolitan area.
This is a hybrid role with a mix of an in office and remote working schedule.
This is a non-exempt, hourly position.
Responsibilities
- Manage executive calendars, including coordinating meetings with participants, resolving conflicts, and generally managing the Digital Leadership team’s daily schedules.
- Organize department meetings, including scheduling, reminders, agenda development, conference room and/or virtual room set-up, and technology support.
- Attend key meetings, tracking and helping drive completion of key deliverables, and following up on outstanding items.
- Serve as department administrator and maintain departmental organizational charts, vacation calendars, distribution lists, and more.
- Prepare drafts of general correspondence, department communications, reports and presentations.
- Lead logistics for All Hands meetings, departmental and team events, social activities, offsite meetings, etc as well as for external events which include, but are not limited to, client entertainment and advertising industry events.
- Arrange travel, manage expense report processing and administer department credit card.
- Answer questions from department staff, assisting in the resolution of general problems and coordinating with other teams (IT, HR, etc.) to support.
- Field incoming requests, including to department email accounts, and direct them to appropriate teams, and handle highly confidential information with good judgment and discretion.
- Build and manage relationships with various departments throughout the organization, as well as other administrative assistants.
- Provide a wide range of operational support and assist with special projects as they arise.
Requirements
- 6+ years experience in an administrative role providing support to senior executives.
- Experience with G Suite products and applications, including Gmail, calendar, drive and Google Slides.
- Demonstrated ability to manage and meet deadlines in a fast-paced environment.
- Excellent prioritization and time management skills.
- Ability to organize and coordinate multiple concurrent projects.
- Ability to identify and solve problems in a creative way.
- Collaboratively work with all levels of management and staff.
- Flexible team player, willing to adapt to changes and tackle challenges directly.
- Excellent written and oral communication skills.
The annual base salary range for this role is $55,000.00 - $70,000.00 USD. The total compensation offered for this position may vary based on factors such as education, experience, skills, and location. It may also include non-cash rewards and benefits. The base salary range is subject to change and may be modified in the future.
