We are searching for a motivated and driven Administrative Assistant to support our growing Distribution Center. The Administrative Assistant will be responsible for auditing and verifying critical information, such as billing, expenses, timecards, invoices, cycle counts, etc. Successful candidates can manage multiple projects while ensuring nothing falls through the cracks. Candidates should also be able to successfully collaborate with various internal teams, field personnel, and external customers. Responsibilities:

    • Checks, processes, and audits mechanic expenses weekly
    • Verifies and audits mechanic weekly timesheets
    • Checks and processes receipts and expenses for the Distribution Center
    • Verifies new inventory receipts and invoices.  Processes them in the system
    • Processes outbound shipping to customers in QuickBooks Enterprise. Sends outbound alerts to the internal team using our email and sales order notifications
    • Audits Sales orders daily
    • Audits RMA inventory returns. Verifies and audits credits on invoices for RMA returns
    • Assists in monthly inventory cycle counts
    • Edits various departmental documents and presentations
    • Assists in completing ad hoc Implementation tasks and projects as needed
    • Assists in performing periodic Trello audits to ensure updates are processed on time
    • Gathers quotes for Implementation, such as T&E, Onsite Implementation Days, etc.  
    • Assists leadership on assignments as directed 

Job Requirements

    • 4+ years’ experience working in an administrative, coordinator, or planning-related role
    • Exceptional experience with Microsoft Excel, Word, PowerPoint, and Project is required
    • Familiarity with Salesforce and/or similar CRM experience is required
    • Experience working within construction technology or the construction industry is  plus
    • High School diploma/GED is required or equivalent work experience.
    • Ability to meet physical demands such as: bending, stooping, climbing, twisting
    • Strong attention to detail; strong planning and problem-solving skills
    • Excellent verbal and written communication skills
    • Diligence and organization in managing information
    • A self-motivated and adaptable person with a strong service orientation and “do what it takes” attitude
    • Diligence and organization in managing confidential information.
