The CNE fair is a cherished tradition, attracting approximately 1.5 million visitors annually over the course of its 18-day run.  The CNE, often affectionately referred to as The Ex, is Canada’s largest community event and one of the top ten agricultural fairs in North America. With something for everyone, our event offers a wide variety of attractions and interactive entertainment experiences including: concerts, midway rides and games, shopping, exhibits, tech and gaming hubs, food and wacky treats!

Role Overview
The Office Administrative Assistant plays a crucial and highly visible role in the success of the CNEA by serving as the first point of contact and the face of the organization. This position is not only central to daily operations but also pivotal in creating a welcoming and professional environment for all visitors, stakeholders, and staff. With a strong focus on administrative support and office management, the individual in this role will directly contribute to the overall efficiency and professionalism of the CNEA.

Responsibilities

    • Act as the front of house representative, providing the first impression of the CNEA to all visitors. 
    • Assist guests in a warm, courteous, and professional manner both in-person, on the phone, and by email.
    • Respond to public inquiries regarding shows, events, and other matters, directing individuals to the appropriate departments with clarity and accuracy.
    • Manage and distribute incoming and outgoing mail, packages, and facsimiles in a timely and organized manner.
    • Arrange courier services and ensure proper documentation and tracking.
    • Maintain a comprehensive and organized general filing system; ensure that all correspondence is accurately filed.
    • Oversee boardroom and meeting room requests, including scheduling, setup, and logistics.
    • Coordinate internal meetings, luncheons, and special events as needed.
    • Ensure the office, meeting rooms, and kitchen areas are presentable, clean, and well-stocked at all times, reinforcing the professional image of the organization.
    • Monitor, replenish, and manage inventory of office and kitchen supplies.
    • Monitor and manage the CNE Info email inboxes, ensuring timely responses and redirection of inquiries.
    • Perform additional duties and support tasks as assigned.

Required Skills & Qualifications

    • Full availability all 18 days of CNE from August 15th to September 1st 
    • Must be available to work flexible shifts, evenings and weekends 
    • Pleasant demeanor & customer-service mindset, demonstrating a welcoming and solutions-focused approach
    • Consistently maintains a courteous and helpful presence
    • Engage with visitors, colleagues and stakeholders in a manner that reflects professionalism, empathy, and efficiency.
    • Experience in a field relating to administration would be considered an asset
    • Passion for entertainment & events would be considered an asset
    • Strong communication skills – both written and verbal
    • Technologically savvy and capable of learning quickly
    • Proficient in Microsoft Office Suite & Outlook
