ROLE OVERVIEW:The SpringHill Company is seeking an Office Coordinator to join our People & Culture team. This role will be responsible for general office operations & support alongside our Office Manager. Success in this role requires excellent organization, relationship building, problem-solving, and strong communication skills with peers and leadership. The successful candidate will thrive in a fast-paced environment, provide excellent support, and ensure all employees and office guests have a superior experience. Candidates must be willing to handle a wide range of administrative and executive support-related tasks and able to work independently with little or no supervision.This position is required to report in-office 5 days a week: Monday-Friday.  The location is in Los Angeles, Hollywood.  

REPORTS TO:Office Manager

RESPONSIBILITIES:
- Carrying out customer service functions, inclusive of greeting visitors; Lead in maintaining a safe and secure working environment by ensuring all badges are activated and deactivated with a sense of urgency as needed
- Enforce in-office security measures amongst employees and on-site visitors by registering all guests including out-of-state employees entering the office ahead of their arrival and guiding guests to their appropriate destinations (making sure all guests/visitors sign in/validation)
- Monitoring of parking enrolments and deactivations as necessary and part of the onboarding and offboarding process 
- Guarantee that board rooms and meeting rooms are prepared and equipped for meetings and visitors
- Ensure the overall appearance of the office and shared spaces are orderly, neat, and tidy
- Ownership of stocking/refreshing snacks and beverages, coordinating and supporting any in-office events, and managing vendor relationships
- Ownership of inventory replenishment by placing orders on snacks, refreshments, beverages and office supplies and restocking in all required areas
- Provide administrative tasks as necessary including HR support as needed such as conducting background checks and creating a new hire itinerary for onboarding employees
- Scheduling and coordinating meetings with applicants / candidates to support talent acquisition efforts 
- Management of Engagement calendar in entering in and auditing employee birthdays and anniversaries listed
- Enforce in-office COVID safety measures amongst employees and on-site visitors in compliance with OSHA and CDC as needed
- Provide onsite support for existing ERG’s (Employee Resource Groups) alongside their leads on engagement events as needed
- Attendance at Weekly Warm Up to announce Birthday and Anniversary and announcements as needed 
- Creative support on People & Culture engagement events announcements and flyers as needed including monthly birthday slideshow
- Oversee in-bound package management including daily distribution of mail and provide shipping support as needed

QUALIFICATIONS:
-Bachelor's degree preferred
- 1+ years with administrative support background
- Human Resources Administration or Office Coordinator experience is a plus
- Customer service oriented, inclusive of greeting visitors and guiding guests to their appropriate destinations
- Previous administrative work or internship experience.
- Ability to work independently, in a fast-paced, dynamic environment with varied projects, deadlines and priorities
- Excellent time management skills, organization skills, and the ability to quickly switch gears between various competing priorities
- Must be able to maintain confidentiality and exercise extreme discretion
- Ability to communicate effectively with all employee levels
- Must be able to make decisions and solve problems while working under pressure
- Familiarity with Google suites & General Computer applications 
- Familiarity with project management & graphic design applications (Canva/Monday)
- Customer service oriented
- Bachelor's degree preferred

$20 - $25 an hour
Salary range is depending on experience.
