Job Summary:
As the Executive Assistant to Toptal’s CEO, you will act as a trusted execution partner on a wide variety of high-importance, detail-intensive initiatives. This role is not about booking calendars or booking travel - it’s about rolling up your sleeves to take on operationally demanding work that requires intelligence, precision, and a strong sense of ownership. The role includes many important but mundane tasks that simply need to be done with care and a willingness to execute. You will be expected to provide high-level executive support to the CEO, consistently demonstrating extreme attention to detail in confidential communications and strategic priorities. You’ll work closely with the CEO to ensure key priorities are executed efficiently and effectively, often navigating ambiguity and managing sensitive information.
This position is ideal for someone who thrives on solving problems, pays close attention to detail, and brings sound judgment to fast-paced, evolving situations. You’ll need to be discreet, highly organized, and consistently reliable - someone the CEO can count on to bring structure, clarity, and high standards to everything you take on.
This is a remote position. We require applicants and the person in this position to reside within NYC. All communication and resumes must be submitted in English.
Responsibilities:

In this role, you will support the CEO across a broad range of operational and administrative tasks, from more mundane responsibilities to important ongoing work, all of which are essential to advancing key priorities. You’ll be responsible for ensuring high-detail, often time-sensitive work is completed accurately and with minimal oversight. This includes tracking progress on ongoing initiatives, anticipating needs, managing follow-through, and contributing to internal and external communications as needed. You’ll also be trusted to handle confidential information with discretion and to collaborate effectively with internal teams and external partners to help keep critical efforts on track.
In the first week, expect to:
· Onboard and integrate into Toptal.
· Rapidly begin learning about Toptal’s history, culture, and vision.
· Spend significant time with the CEO to understand his priorities, working style, and current initiatives.
In the first month, expect to:
· Get up to speed on the CEO’s immediate priorities and ongoing projects, understanding where your support will be most needed.
· Begin taking ownership of key operational and administrative tasks to support the CEO, while exercising discretion and independent judgment.
In the first three months, expect to:
· Begin executing on top initiatives by tracking progress, coordinating next steps and keeping priorities visible and moving.
In the first six months, expect to:
· Show clear, measurable progress across high-priority CEO initiatives, with milestones met and next steps well scoped.
· Become a central partner in how the CEO operates day-to-day, helping maintain momentum, clarity, and accountability.
In the first year, expect to:
· Operate as a trusted, strategic partner to the CEO, driving clarity, alignment, and momentum across high-priority initiatives.
· Continuously raise the bar on strategic execution, visibility and impact for the CEO.
Qualifications and Job Requirements:
· Bachelor’s degree is required.
· Must reside in NYC.
· This is not a 9-to-5 role - you must be highly flexible and responsive when urgency arises.
· You must have world-class organization skills, be highly detail-oriented and comfortable wearing many hats.
· You must have tremendous emotional intelligence, including exceptional foresight and judgment.
