The Opportunity

    • Executive Support: Act as a primary point of contact for the CEO and COO, managing complex calendars, scheduling meetings, and ensuring efficient time management across multiple time zones.
    • Travel Coordination: Expertly plan and execute intricate domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries, anticipating potential issues and providing proactive solutions.
    • Off-Site Event Planning: Take the lead on conceptualizing, organizing, and executing highly successful off-site company events, team retreats, and executive meetings from start to finish. This includes vendor management, budget oversight, logistics, and on-site support (if applicable).
    • Communication & Correspondence: Draft, proofread, and manage professional correspondence, presentations, and reports on behalf of the executives. Filter and prioritize incoming communications, ensuring timely and appropriate responses.
    • Project Management Support: Assist with various special projects, research, and initiatives as directed by the CEO and COO, often requiring independent problem-solving and critical thinking.
    • Expense Management: Prepare and submit accurate expense reports in a timely manner.
    • General Administrative Support: Handle a wide range of administrative tasks, ensuring the smooth and efficient operation of the executives' day-to-day activities.

Qualifications

    • 3-5+ years of experience as an Executive Assistant supporting C-level executives, ideally within a fast-paced, high-growth environment.
    • Demonstrated expertise in complex domestic and international travel coordination, including a strong understanding of various travel platforms and logistics.
    • Proven track record of successfully planning and executing off-site corporate events, retreats, or large-scale meetings from inception to completion.
    • Exceptional organizational skills and a meticulous attention to detail.
    • Outstanding written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders.
    • Proactive, resourceful, and a highly adaptable problem-solver who can anticipate needs and take initiative.
    • Strong proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and other relevant collaboration tools.
    • Ability to maintain a high level of confidentiality and exercise discretion.
    • Comfortable and effective working independently in a fully remote environment across different time zones.

Nice to Haves

    • Experience working in a fully remote company previously.
    • Familiarity with project management software (e.g., Asana, Trello, Monday.com).
$65,000 - $75,000 a year
