Accurately follow all company policies and procedures in processing invoices, creating reports, performing analysis, timely payment of vendors, and data maintenance of journal entries regarding all Accounts Payable (A/P) for assigned location(s).
RESPONSIBILITIES:
1. Process all invoices (communicate with departments at assigned locations):
- Process Accounts Payables under company payment terms, ensuring appropriate authorization per company policy
- Adhere to department procedures, ensuring documentation is accurate
- Meet with other departments as needed to resolve invoice issues
- Involve higher levels of management to resolve issues
- Ensure vendors are paid on time and accurately
- Maintain files for invoices and reports
2. Follow-up on all problem invoices:
- Visit assigned location for business understanding and issue resolution as needed
- Gather all necessary information and data (ex: packing slips, names, dates, documentation, system data)
- Sort out misunderstandings with vendors
- Create DM/CM to resolve price and quantity discrepancies
- Get authorization to pay invoice
- Ensure procedures are followed in an accurate and timely manner (ex: received and entered into system)
3. Perform Month-End Tasks (AP related Journal Entries & Balance Reports):
- Follow checklist for schedule and organization of all Month-End Tasks
- Create all A/P related Journal Entries per checklist
- Reconcile accounts and resolve issues as needed
- Prepare analyses
- Archive reports/documentation as required
4. Kaizen Activity (Continuous Improvement):
- Perform TPS (Toyota Production System) activities and methods to identify root causes
- Identify trends of waste (effort, supplies, etc)
- Work with other departments as needed
- Recommend and implement improvements
- Follow-up to confirm that countermeasures resolved issues
- Maintain 5 S work environment, ensuring safety and organization
