About the Role:
As an Executive Assistant, you will be the organizational backbone of the executive team, providing comprehensive administrative support. Your primary responsibilities will be expertly handling the scheduling and rescheduling of appointments and calls. You will proactively manage and prioritize conflicting needs, ensuring all projects are followed through to successful completion, often under tight deadlines. Additionally, you will be responsible for managing all travel arrangements, including visa applications, and handling the timely processing of expense reports and invoices.
Responsibilities
- Managing travel arrangements; including visas
- Extensive Diary Management – daily management of scheduling & rescheduling appointments/calls , communicating to attendees, flexible approach to changing schedules, ensuring appointments are met and correct facilities have been booked
- Prioritizing conflicting needs; handling matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressure
- Processing expense reports and payment of invoices
Expected Qualifications
- Max. 3 years of experience as department assistant in a fast-paced environment
- Fluent in English- comfortable in both written and oral communication
- Experienced in arranging logistics and travel
- High level of confidentiality, accuracy and discretion
- Superior organizational skills and planning ability.Strong Problem-solving skills, highly resourceful
- Strong follow-up skills
- Proactive and efficient in finding and implementing creative solutions to a variety of issues
- Ability to be very flexible and to re-prioritize
- Ability to thrive in a fast-paced environment, while multitasking and maintaining a strong eye for details
- Highly communicative and comfortable working in a team environment.
- Excellent interpersonal and communication skills- positive attitude
