About Workplace Experience at Trustly
Our Workplace plays a large part in making Trustly such a great place to work. We always strive to create a positive and professional atmosphere across all of our offices, both for our colleagues and guests. While the Workplace Director is based in Stockholm, members of the team are spread across our European offices. We are a small but fun team that values details and knows how to leave a lasting impression.

About the role
In this role, you will be responsible for ensuring great service to all our guests, as well as our employees. Our Workplace Experience team plays a vital role in making Trustly a great place to work and maintaining our great culture, and the Workplace Coordinator will take initiative in these areas.
Please note: This is a fixed-term contract for 1 year.

What you'll do

    • Welcome all visitors and act as the first point of contact at reception
    • Build strong working relationships with the building’s main reception and management team
    • Collaborate with the Workplace Experience Team across Trustly sites and join weekly check-ins
    • Act as a go-to for general team support and help foster a warm, collaborative office culture
    • Coordinate and set up meeting rooms, including refreshments, AV, and room layouts
    • Troubleshoot and resolve basic IT issues; serve as first contact for tech and connectivity problems
    • Support new starter onboarding: access passes, welcome packs, IT coordination, and orientation
    • Assist with invoicing, expense tracking, and liaising with the finance team
    • Maintain confidentiality and uphold company values and culture
    • Ensure compliance with health and safety protocols, office policies, and maintain documentation
    • Be willing to act as a trained first aider and fire marshal (training provided if needed)
    • Keep the office tidy and stocked with supplies, adjusting based on weekly attendance
    • Prepare for monthly company-wide meetings, ensuring all technical aspects are in place

Who you are

    • You have at least 3 years of experience in office management, coordination, or reception
    • A natural service-minded professional who always aims to exceed expectations
    • A strong coordinator with great attention to detail
    • Creative, hands-on, and eager to take initiative
    • A motivating presence who leads by example
    • Likely from a hospitality background, or similar service-focused environment, with a strong instinct for delivering exceptional experiences and a passion for making things happen
