We are seeking a detail-oriented and experienced Payroll Manager to lead payroll operations across our U.S. and international teams. This role requires deep expertise in U.S. payroll processes, labor allocations, compliance, and systems integration. You will manage payroll for employees and contractors in the United States, Canada, and India, maintaining accurate records, ensuring compliance with federal and state laws, and collaborating with Finance and HR teams to support labor cost planning and reporting. This is a high-impact role ideal for someone who thrives in a fast-paced, growing environment and is comfortable owning payroll end-to-end.
What You'll Do:
- Managing Payroll
- Manage end-to-end semi-monthly and monthly payroll processing for 200+ employees and contractors across multiple EINs in the U.S. and Canada.
- Oversee payroll operations in India for 200+ employees and collaborate with global payroll teams to ensure consistency, compliance, and alignment across international payroll operations.
- Ensure compliance with all federal, state, and local tax laws, including timely tax filings and withholdings
- Collaborate with HR and Accounting to maintain and reconcile payroll liabilities (e.g., taxes, benefits, garnishments)
- Work with Accounting to oversee payroll journal entries and ensure accurate classification of labor expenses
- Partner with HR to ensure timely updates to compensation, deductions, and benefits.
- Partner with HR and Accounting to hire and onboard new employees for both United States and India teams, maintaining and updating payroll systems and records to ensure data integrity and security.
- Maintain payroll systems and records, ensuring data integrity and security.
- Respond to employee inquiries regarding payroll matters in a timely and professional manner.
- Coordinate with Accounting to post labor costs from timesheet systems into ERP and cost centers
- Work with Accounting to segment payroll across direct and indirect cost pools (project-based costs, fringe, overhead, G&A)
- Collaborate with FP&A and Project Accounting on labor forecasts and budget planning
- Support preparation of payroll-related metrics, reports for management and audit documentation
- Work with Accounting to create intercompany invoicing and labor cost segmentation between India and U.S. entities.
- Work with Accounting to reconcile payroll outputs with ERP systems, banking platforms, and accounting tools (e.g., Ramp, Brex, ADP)
- Participate in payroll system automation and migration projects; ensure accuracy and continuity of payroll data
- Work with Accounting to enforce payroll-related GL coding and segmentation policies across departments
- Maintain documentation and internal controls around payroll processes and approvals
- Lead payroll-related components of internal and external audits, implementing corrective actions as needed
- Ensure timely and accurate filing for federal/state wage and tax reports (W-2, 941, etc.)
- Coordinate with external accountants or tax advisors on payroll-related compliance and filings
- Maintain and facilitate state payroll registrations and ongoing reporting requirements across applicable jurisdictions.

What You Have:
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field
- 7+ years of U.S.-based payroll experience, preferably in a multi-state and multi-entity environment, processing payroll for 400+ employees.
- Strong knowledge of U.S. payroll tax laws, compliance, and reporting requirements
- Experience with timesheet systems, labor cost segmentation, and payroll journal entries
- Proficiency in Excel, with strong skills in reconciliation, data validation, and reporting
- Experience with ADP Workforce Now or similar platforms
- Excellent communication skills and cross-functional collaboration experience
- High level of discretion with confidential information
- Preferred Qualifications (Nice-to-Have)
- Experience with ERP systems (e.g., NetSuite)
- Familiarity with Ramp, Brex, or similar financial tools
- Knowledge of project-based cost allocations and indirect rate structures
- Experience with payroll system implementation or migration
- Understanding of GL segmentation policies and internal financial control
- Certified Payroll Professional (CPP) designation

$80,000 - $95,000 a year
UltraViolet Cyber maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, market conditions and locations, as well as reflect our company's differing products, services, industries and lines of business. Candidates are typically placed into the range based on the preceding factors.
