At Vitruvian Networks, we create solutions that scale for healthcare. Specifically, we develop software products that help deliver personalized medicines like cures for cancer. Highly impactful and mission critical!

We are looking for a dynamic Office Manager whose polish, poise and professionalism will enable him or her to 'jump in' and take the initiative on a variety of administrative projects to help our fast growing team. This position will report directly into our Director of Business Operations and Chief Technology Officer.

WHAT YOU’LL BE DOING:

    • Critical operational support for sourcing and recruiting (e.g. messaging, scheduling and following up with candidates through multiple interview stages. Must be comfortable with using an applicant tracking software. Helping the company hire and grow the team will be your top priority!)
    • General office operations (ordering supplies, support and facilitate shipping and receiving packages, welcoming guests, fielding phone calls, maintaining office condition and arrange for necessary repairs, ordering team meals, document management)
    • Helping our CEO, CTO and executive team maintain their demanding and ever-changing meeting calendars and travel arrangements
    • Interfacing with property management and all office service providers to keep the office in pristine condition at all times (internet, electricity, cleaning, maintenance, etc.)
    • Perform special, ad hoc projects as required
    • Understand that your will be part of a fast paced startup environment. We prize getting things done and do not necessarily always operate within normal business hours
    • Provide timely communications to employees regarding events,  office related issues, and general company information. Be a resource for information for the employees, customers and guests.
    • Proactively communicate with your manager regarding status updates and potential challenges

THE FOLLOWING EXPERIENCE AND SKILLS ARE IMPORTANT TO US:

    • Excellent written and communication skills, and a team mindset
    • Must be computer proficient, especially with Google Apps (Email, Drive, Docs, Sheets), Microsoft Office, Google Calendar/Outlook, Webex, Box.com
    • Comfort with using electronic communication tools (e.g. Instant messaging, Slack, phone texting, emails)
    • Ability to handle multiple assignments simultaneously with the ability to prioritize (and reprioritize) and work effectively and efficiently in a fast-paced, deadline driven environment
    • Ability to quickly learn new tools and technologies and/or how to maneuver to work around existing technology limitations
    • Interest and experience in using technology and the Internet to improve work efficiency
    • Ability to anticipate needs, plan ahead, implement accordingly, and flourish with minimal guidance
    • Care deeply about your work and about the success of your projects
    • No task is too small or big mentality
    • Attention to detail

BONUS SKILLS:

    • Prior office management experience
    • Experience supporting Senior level executives, ideally within a software organization
    • Experience with Applicant Tracking Software Systems (e.g. Lever, Greenhouse etc)
