Role Purpose and Summary
- Drive the successful setup, integration, and operation of offices worldwide and ensure operational excellence by standardizing processes, fostering collaboration, and maintaining compliance across regions. With a focus on scalability and efficiency, this role is pivotal in supporting the organization’s growth and ensuring global alignment.
Experience
- 10-12 years of relevant professional experience in global operations, with a strong focus on project management, operational efficiency, and cross-border collaboration with a minimum of 5 years in managerial capacity; Experience in infrastructure funds, private equity, or a similar sector is preferred
Qualifications
- Master’s degree in Business Administration, Operations Management, or a related field
- Certifications in Project Management (e.g., PMP or PRINCE2) and/or Operations Excellence are desirable
Key Responsibilities: Role Specific Technical Responsibilities
- Create Expansion Playbook
- Develop a detailed, scalable playbook outlining every step of establishing new offices, including pre-launch planning, resource allocation, and post-launch stabilization.
- Incorporate region-specific requirements such as market research, infrastructure needs, and cultural nuances into the playbook.
- Ensure the playbook includes compliance frameworks, operational checklists, and contingency plans for unforeseen challenges.
- Update the playbook periodically based on feedback and lessons learned from previous expansions.
- Lead Office Setups
- Spearhead the planning and execution of new office setups, collaborating with corporate stakeholders and local teams.
- Assess location-specific needs, including real estate, staffing, technology, and operational requirements, to create tailored setup plans.
- Manage budgets, timelines, and resource allocation to ensure smooth and cost-effective setups.
- Coordinate with IT, Facilities, and Legal departments to ensure all infrastructure and compliance needs are met prior to launch.
- Oversee Global Operations
- Partner with office managers to ensure day-to-day operations align with organizational objectives and standards.
- Conduct regular audits and reviews to monitor performance, address operational inefficiencies, and implement improvements.
- Act as a liaison between global offices and headquarters to ensure consistent communication, reporting, and alignment.
- Establish and track key performance indicators (KPIs) to measure the success of global operations.
- Standardize Policies
- Design and implement uniform operational policies, procedures, and workflows to create consistency across all offices.
- Collaborate with department heads to ensure that standardized policies are relevant, practical, and aligned with organizational goals.
- Roll out training programs to educate office managers and teams on standardized processes and ensure compliance.
- Continuously evaluate and refine policies based on employee feedback, regulatory changes, and industry best practices.
- Ensure Local Compliance
- Partner with Governance, Compliance, Legal, and HCD (Human Capital Development) teams to navigate local regulations and legal requirements.
- Oversee the development of location-specific compliance protocols to ensure adherence to tax, labor, and corporate laws.
- Stay updated on regulatory changes in various regions and implement necessary adjustments to maintain compliance.
- Mitigate risks by conducting regular compliance audits and addressing gaps proactively.
- Support Cross-Office Collaboration
- Facilitate effective communication between offices by implementing collaboration tools, regular meetings, and cross-functional initiatives.
- Address regional challenges by mediating conflicts, resolving operational roadblocks, and fostering a culture of teamwork.
- Organize global team-building events and knowledge-sharing sessions to enhance employee engagement and cross-cultural understanding.
- Ensure that each office feels integrated into the global organization by promoting a unified company culture.
- Manage Vendor Relations
- Establish and maintain relationships with global and regional vendors to ensure reliable, high-quality services.
- Negotiate vendor contracts to secure cost-effective solutions that align with organizational goals.
- Develop a vendor management framework to monitor performance, address service issues, and evaluate vendor effectiveness.
- Introduce new vendors or technology solutions to address evolving operational needs.
