Position Description:

We are looking for an Administrative Assistant to join our team to improve infrastructure in our Taylor office. The individual in this role will work with our Finance, Legal, and Human Resources (People Services) teams. The candidate must have a high school diploma and have at least one year of related office experience. The candidate must also be self-motivated, work well with others, and have excellent writing, organizational, and communication skills.

Typical responsibilities include:

    • Finance: 
    • Monitor the Harbor Compliance licensing dashboard, updating information as necessary.
    • Assist professional employees with the establishment & maintenance of NCEES records.
    • Process weekly timesheets 
    • Process checks bank deposits
    • Assign tickets, monitor open issues, in the Finance Service Desk.
    • Support the Accounts Payable, General Accounting, and Payroll team

    • Legal: 
    • Work with the Legal Department and Information Technology (among other departments) to implement, migrate, administer, manage, and utilize Contract Lifecycle Management (CLM) software; prior experience leading or actively participating in the implementation of CLM software preferred
    • Assist Legal Department with providing CLM support and training, including first level support for CLM training, data requests, dashboards / reporting, and tracking of attributes / obligations
    • Work with Legal Department to onboard and train new users (both technical and non-technical) on the CLM system functionality and related processes
    • Assist Legal Department in development of CLM training materials and user manuals, and implement a train-the trainer model as appropriate
    • Work with Legal Department to manage contract templates and clause libraries for its commercial contracts with clients, partners, and vendors
    • Manage and organize the intake of legal requests, including contract review requests and other general legal inquiries, and then assign to attorney in legal team.
    • Must be proficient in Microsoft Suite applications (Outlook, Word, Excel, OneDrive, SharePoint).
    • High attention to detail.
    • Ability to manage high volume of requests at any given time and assign according to priority of urgency.
    • Collaborative team member.

    • People Services 
    • Support People Services department with projects that may include posting jobs, scheduling interviews, and organizing onboarding documents.

    • Maintain a safe working environment

Education:

    • High school diploma

Skills/Experience:

    • One year of office experience
    • Microsoft Suite experience,  with emphasis on SharePoint, Excel, and PowerPoint.
    • Ability and willingness to learn and work with new software packages.
    • Excellent written and verbal communication skills
