At Weights & Biases, our mission is to build the best tools for AI developers. We founded our company on the insight that while there were excellent tools for developers to build better code, there were no similarly great tools to help ML practitioners build better models. Starting with our first experiment tracking product, we have since expanded our solution into a comprehensive AI developer platform for organizations focused on building their own deep learning models and generative AI applications.

Weights & Biases is a Series C company with $250M in funding and over 200 employees. We proudly serve over 1,000 customers and more than 30 foundation model builders including customers such as OpenAI, NVIDIA, Microsoft, and Toyota.

We are looking for an experienced Executive Assistant to partner with our C-level executives. This person must be highly organized, an adept problem-solver, a strong relationship builder, and able to tackle administrative tasks with ease. This role will be responsible for keeping track of challenging schedules, juggling multiple projects and priorities, and will help to drive the day-to-day of our business.

    • Seamlessly manage email coordination, calendar scheduling, travel, expense reporting, and a wide variety of priorities for your execs
    • Demonstrate strong calendar management (multi-time zones) for travel and scheduling of meetings
    • In addition to the general administrative duties of an Executive Assistant, assist with ad hoc projects as needed, including file organization, sending contracts for signature, and other setting up various team and cultural events both within the teams and across the organization (i.e. department all hands, offsites, special projects)
    • Maintain the highest degree of confidentiality and judgment on the sharing of information
    • This role may at times require early morning, late evening, or weekend work
    • Support interview activities and events as needed in our San Francisco Headquarters

Requirements:

    • Minimum of 5 years of experience directly supporting 1 or more executives (C-Suites preferred) in a venture-backed rapidly growing organization; prior experience interacting with Board members and investors strongly preferred
    • Excellent written and verbal communication skills
    • Exceptional organizational and time management skills, with strong attention to detail and a proven ability to take ownership of multiple projects
    • Demonstrated ability to handle confidential information with discretion and emotional intelligence
    • Ability to exercise strong business judgment, meet deadlines, and balance multiple requests
