Summary
The Bilingual (English/Spanish Speaking) Front Office Assistant provides support to clients, clinicians and staff. They delivery comprehensive administrative and front desk support, assisting clients and families with scheduling, documentation, insurance, and payments, while also coordinating interpreter services, managing program data, and supporting day-to-day clinic operations and events.
This position is full-time onsite and works 7:30 a.m. - 3:30 p.m., Monday - Friday
This position requires fluency in Spanish and English
Core Responsibilities
Front desk support, including checking in clients, answering phones and rescheduling appointments
· Data entry· Insurance verification
Front Office Support
·Provide front desk and telephone support, including client check-in, appointment scheduling/rescheduling, and handling cancellations, mail, and payment processing.
· Assist clients and families by gathering insurance information, collecting fees, providing required documentation, and supporting the completion of outcome measures.
· Provide appointment reminder calls/emails to clients daily when needed for coverage.
· Process credit card donations and client payments.
· Complete entry of program outcomes utilizing Electronic Health Records (EHR) and state databases such as MN ITS.
· Other administrative tasks as requested by staff or Front Office Supervisor, include laminating, copying and printing.
· Complete insurance eligibility checks for clients
· Schedule interpreter requests and coordinate document translations for clinicians
· Score and record CBCL (Child Behavior Checklist) forms
· Ensure children in Day Treatment and Family Focused programs are safely connected to transportation daily
· Provide facilities support for event setup, including arranging chairs and tables as needed
Required technical skills, knowledge, and abilities
* Fluency in Spanish and English is required
* Ability to work on a team
* Ability to work with a diverse population
* Physical ability to lift up to 25 lbs. as needed
* Physical ability to be on feet (walking and standing) for several hours a day
* Strong communication and organizational skills
* High attention to detail
* Ability to multi-task
* Bachelor's degree is desired
* High School diploma or GED equivalent is required
* 1-3 years of experience working in an office environment, answering telephones and providing administrative support is required
* Intermediate knowledge of Microsoft Office and Outlook is required
$19 - $22 an hour

Vacation: Paid Vacation accrues at 10 hours of vacation per month - up to 15 days / 120 hours annually.
