TEAM
Managing employee payroll is a complex and time-consuming task, but vital to employee happiness and success by ensuring payroll for all employees is accurate and paid on time. Our payroll team manages over 1,100+ individual payroll processes and 1,700+ attendance records every month with the help of 4 team members. As a team we emphasize close communication and collaboration to ensure our payroll processes are completed as efficiently and effectively as possible. 

WHO ARE WE LOOKING FOR?
The Payroll Assistant will assist the Payroll department in ensuring the accurate and timely processing of payroll for employees. This role supports day-to-day payroll activities, including maintaining payroll records, verifying employee data, assisting with audits, and addressing employee payroll queries. The Payroll Assistant plays an essential role in ensuring compliance with payroll laws, regulations, and company policies, working closely with the Payroll Assistant Manager to meet monthly payroll deadlines and objectives. You must have a general understanding of the monthly and annual payroll cycle, how tax withholdings and social security works in Japan.

RESPONSIBILITIES

    • Payroll Data Collection & Entry: Collect and verify data from core HR system, attendance system and other payment requests  to support payroll preparation, ensuring accuracy for employee pay.
    • Payroll Processing Support: Assist in processing monthly payroll, including salary, tax, benefits, and social insurance deductions. Ensure that payment instructions are prepared for Finance and payroll vendor submission.
    • Record Maintenance: Maintain accurate and up-to-date payroll records and employee data in line with internal policies and local payroll regulations.
    • Compliance and Reporting: Help ensure payroll complies with local labor laws and tax regulations. Assist with generating monthly payroll reports.
    • Payroll Queries: Respond to payroll-related inquiries from employees, providing accurate information on salary, deductions, benefits, and other payroll matters.
    • Audit Support: Assist with internal and external audit processes by organizing and maintaining payroll records, and responding to audit-related queries.
    • Cross-Functional Collaboration: Work closely with other HR functions, Finance, Tax, and other departments to where necessary. Participate in various projects as a Payroll point of contact.
    • Problem Solving: Identify and resolve discrepancies or issues in payroll, escalating when necessary, and ensuring smooth payroll operations.
    • Payroll Process Improvement: Contribute to identifying opportunities for streamlining payroll processes and making recommendations for improvements.
    • Payroll Compliance: Ensure that payroll procedures remain up to date with the latest local regulations and industry standards.

MINIMUM QUALIFICATIONS

    • Experience: Minimum of 3–5 years of experience working in payroll or a related administrative field.
    • Fluency in Japanese at a native level and English at a business level, both verbal and written.
    • Strong organizational skills and attention to detail
    • Ability to adapt to new systems, processes, and regulations in a fast-paced environment.
    • Positive attitude and a team player. Demonstrable ability to foster relations and collaborate effectively
    • Basic understanding of payroll-related accounting transactions is beneficial.

NICE TO HAVES

    • Bachelor's degree preferred
    • Experience in Japanese Payroll Software, Lacras, Bugyo, Jobkan, Smart HR,  ADP Asia etc.
    • Experience with HR technologies such as Success Factor
    • Experience working in a global matrix organization is a plus
