TEAM
Managing employee payroll is a complex and time-consuming task, but vital to employee happiness and success by ensuring payroll for all employees is accurate and paid on time. Our payroll team manages over 1100+ individual payroll processes and 1,700+ attendance records every month with the help of 4 team members. As a team we emphasize close communication and collaboration to ensure our payroll processes are completed as efficiently and effectively as possible.
WHO ARE WE LOOKING FOR?
As the Japan Payroll Manager, you'll have an impactful role on the day-to-day execution of payroll and payroll-related benefits. In addition, you will be participating in defining and refining processes to support a high-growth company that is expanding internationally including but not limited to expats. This is an incredible opportunity to join a highly motivated, fun team poised for success. You will also lead a mid-sized team of payroll professionals in our Tokyo office.
RESPONSIBILITIES
・Build, develop and lead our Japan based payroll team
・Work with a cross-functional team to design and implement workflows to increase efficiency and also improve employee experience
・Build, manage and audit internal controls to ensure all payroll transactions are processed accurately, timely, and in compliance with International, federal and local, state, country-specific laws, and regulations
・Assure that payroll records are prepared, reviewed, approved and filed timely and accurately, and maintained in accordance with the company's payroll policies and local payroll regulations.
・Manage year-end adjustments and handle communications to employees.
・Manage a partnership with payroll vendors to optimize system functionality and exploit opportunities for process automation.
・Enforce compensation policies regarding approval guidelines and documentation
・Support the finance team by participating in month/quarter/year-end financial closing activities as well as external audits: Payroll journal entries, payroll, and benefits-related account reconciliations.
・Communicate with the social insurance attorney and support the employees to process the social security administrative procedures
・Lead Japan based payroll system implementation, payroll programs and processes
MINIMUM QUALIFICATIONS
・Language: Strong verbal and written communication skills in both English and Japanese
・Experiences:
・10+ years of Japan hands-on payroll processing and administration experience at a high-growth tech company
・5+ years of people manager experience
・Experience with Japan Payroll System Management and other widely adopted HRIS and Payroll system integration and data mapping (Bonus points if you have worked in Lacras Payroll System and SuccessFactors)
・Payroll knowledge: Understanding on payroll accounting and cash reconciliation
・Skills:
・Excellent organizational skills and attention to detail. Must be able to prioritize tasks to meet deadlines and demands.
・Able to interact effectively and professionally with all levels of employees, various levels of management as well as vendors and other stakeholders
・Ability to be self-motivated, proactive, and an effective team player
・Critical thinker and strong analytical skills
・Demonstrates professionalism and maturity in handling confidential information.
・A keen focus on scale, end-to-end automation, and evolving processes for scale and efficiency
・Other knowledge:
・Strong knowledge of Japan Payroll, Social Security and labor laws
・Other: Expat payroll and inter-company accounting experience
