The Workplace Operations team at Woven by Toyota is dedicated to creating an agile and empiricist working environment that fosters growth and collaboration. As part of this mission, we are seeking a Facilities Manager who shares our values of empathy, inclusion, and transparency.

WHO ARE WE LOOKING FOR?
As the Facilities Manager at Woven by Toyota, you'll lead our facility-related programs across our US/UK sites as needed. Your main responsibilities in the Bay Area include ensuring smooth operations, compliance code with standards, and enhancing facility performance. You'll also prioritize promoting a safety-centric culture and ensuring a positive employee experience from a customer-focused perspective, along with adherence to processes and team oriented. Acting as a bridge between facilities and regional stakeholders, you'll contribute to external reporting efforts and drive initiatives to improve facility management practices. Your dedication to excellence in facilities management will be crucial in maintaining Woven by Toyota's esteemed standards across its diverse facilities.

RESPONSIBILITIES

    • Develop and maintain workflows for day-to-day Facilities Operations at Bay area sites, fostering an inclusive and transparent work environment.
    • Manage the food/drinks/snack program for the Bay Area, including budget oversight and cost-effective procurement strategies with full transparency and accountability.
    • Oversee social and community services events for US/UK locations to ensure all employees feel included and valued.
    • Innovate the incoming and outgoing mail/shipment & office supplies process, implementing streamlined procedures and leveraging technology for improved effectiveness while maintaining transparency in decision-making and budget management.
    • Proactively coordinate  processes for all-hands meetings, global meetings, and social events, striving for greater efficiency and effectiveness in setup and execution while managing associated budgets.
    • Utilize expertise in space planning, oversee special projects, and lead Move, Add, and Change initiatives.
    • Lead continuous improvement efforts to reduce, reuse, recycle items such as: tires, oil, and battery, exploring innovative approaches to waste reduction, energy efficiency, and sustainability within allocated budgets, with a focus on transparency and accountability.
    • Drive efficiency and excellence in small projects management, continuously seeking ways to streamline processes and enhance stakeholder satisfaction within project budgets, while fostering transparency and collaboration and utilizing tools such as Kaizen, 5 Whys, 5 S’s, and PDCA problem-solving.
    • Drive ongoing enhancements to ticket and metric management for ServiceNow (SNOW) requests, ensuring optimal allocation and resolution across US/UK locations within budget constraints.
    • Work closely with property management & landlords to manage/maintain all specialty building services, fostering transparent and collaborative relationships.
    • Manage and identify opportunities for preventative maintenance of kitchen equipment and facilities for US/UK locations, prioritizing employee well-being and comfort.
    • Work with property management & landlords to manage/maintain all specialty building services; UPS, HVAC, life safety, plumbing, electrical, etc.
    • Communicate openly with vendors, stakeholders, legal, EHS, FP&A, IT, EA’s, Procurement, Physical security, communication & marketing, and HR to ensure facilities' expectations are aligned, promoting transparency and mutual understanding.
    • Serve as a key point of contact for PAO LL, enhancing communication and support effectiveness, including managing the PAO budget and financial reporting, with a commitment to transparency and accountability.
    • Act as a proactive backup for Bay Area locations, refining backup protocols for optimal readiness with a commitment to transparency and inclusivity and serve as an Emergency Response Team (ERT) member.

MINIMUM QUALIFICATIONS

    • Bachelor’s Degree (or higher) with 5-10 years of experience in Facilities Management, preferably within a tech environment.
    • Exceptional interpersonal and communication skills, fostering strong relationships across departments and resolving conflicts constructively.
    • Ability to effectively prioritize tasks, delegate as necessary, and take proactive initiative in recognizing and addressing areas requiring additional support.
    • Experience in budget management with a knack for thriving in fast-paced, dynamic environments.
    • Genuine alignment with our organization's mission, vision, and values.

NICE TO HAVES

    • Recognized professional qualifications in facilities management area.
    • IFMA or MCR certified.
    • Ability to manage and collaborate with cross-functional teams in an agile business environment.
    • Previous experience in facilities management or related fields.
    • Knowledge of and experience with BCP, CMT and ERT is a plus
$119,500 - $195,500 a year
Your base salary is one part of your total compensation. We offer a base salary, short term and long term incentives, and a comprehensive benefits package. The California pay scale for this full time position is $119,500 - $195,500. The total compensation offered to an employee will be dependent upon the individual's skills, experience, qualifications, location, and level.
