TEAM
The Administration Team is responsible for the overall administrative operations of the Woven City Management (WCM) organization. The team is located within the Project Governance organization, which is responsible for administrative functions. The team provides operational support to WCM as a whole.

You will improve the IT/office environment and promote efficiency and standardization of daily operations to help members so they can focus and maximize their work. You will report to the function manager and this role's workplace type is hybrid.

WHO ARE WE LOOKING FOR
We are looking for an administrative assistant manager, who can plan and execute new tasks such as office preparation for the opening of Woven City, planning for the launch ceremony, and site tours for WCM members.

RESPONSIBILITIES

    • Provide a place where members can easily concentrate on their work (office environment improvement, interpretation support, implementation of communication measures)
    • Plan and arrangements for the launch of the Woven City Office
    • Planning and execution of the City launch ceremony
    • Planning and execution of WCM members' site tours
    • Planning and execution of administrative tasks necessary for the pre-opening and Grand-opening of Woven City
    • Administrative support for the Woven City and Woven City offices, such as secretariat for multiple events, office operations, communication measures.
    • You will require frequent business trips to Susono city before and after the pre-opening of Woven City.

MINIMUM QUALIFICATIONS

    • 5⁺ years of experience in administration and clerical work
    • 2⁺ years of experience in internal helpdesk support
    • Capable of managing multiple tasks and being comfortable with ambiguity situations
    • Ability to plan for unprecedented work in the past
    • Ability to improve, maintain the workplace by communicating and negotiating with employees
    • Ability to solve problems, and desire to think about improvement
    • Proficiency in native level Japanese and business level English
