WHO ARE WE LOOKING FOR
The Executive Assistant to the Head of Dojo creates a professional, productive and pleasant environment where the Director and their team can execute. As a result, this role indirectly supports all partners who rely on the Director, and improves our operations as a company.

Reporting to the Head of Dojo, you will work with the Director and be an expert in supporting their daily activities, including organizing meetings and appointments. You will work in a hybrid environment requiring your presence onsite at our Nihombashi office several days per week.

RESPONSIBILITIES:

    • Managing the Director's time allocating the correct amount of time to varying priorities, partners, and commitments
    • Decide where time is invested, ensuring the right balance between internal and external commitments, and structured/unstructured time
    • Manage the leader’s calendars across multiple time zones; maintain complex schedules, coordinate appointments, and greet & welcome external visitors. Coordinate global travel
    • Work with other senior partners and Executive Assistants, so there is aligned planning, good collaboration and clear processes within the Director's team and when collaborating with other teams
    • Ensure the right things get done with the right quality at the right time, and nothing falls through the cracks
    • Be willing to jump in and help where needed, including some event management and project management
    • Communicate with other departments

MINIMUM QUALIFICATIONS:

    • 5+ years of administrative experience with at least 3 years as an executive assistant
    • Business level Japanese and English language capabilities
    • You excel in an ambiguous work environment, you serve as an advocate for your decisions and can say "no" to support your executive's schedule when needed
    • You work both autonomously and collaboratively, completing the tasks you are responsible for. You are thoughtful, take problems and dissect them for solutions, and can foresee future challenges to start planning preventative measures
    • You can juggle deadlines, schedules, planning meetings and are accustomed to supporting executives with demanding schedules. This includes arranging trips and providing local support to executives in Japan
    • Flexible to manage changing plans and priorities
    • Maintain strict confidentiality standards

NICE TO HAVES:

    • Experience using Oracle ERP
    • Proficient in Google Workspace
