ORGANIZATION SUMMARY

This position is contingent upon the successful acquisition of additional funding and may be subject to modification or termination based on the availability of resources.
POSITION SUMMARY:
World Relief seeks an Intake and Administration Coordinator to be the first contact for Special Immigrant Visa holders seeking support services through the PC Intake, Assessment, and Referral (PC IAR) and PC GAPS programs at World Relief Sacramento. This position is responsible for facilitating the intake process, beginning at the client’s first intake interview, including the enrollment process, document verification, coordination, monitoring, and follow-up. This position improves program workflow operations by identifying needed actions, then creating and implementing administrative systems and procedures. The Intake and Administration Coordinator is comfortable navigating across systems and platforms, is technologically savvy, highly organized, and pays meticulous attention to detail.
ROLE & RESPONSIBILITIES:
- Comply with program guidelines and requirements for the PC IAR/GAPS programs and other grant and funding sources
- Conduct outreach and provide program eligibility information and orientations to clients
- Coordinate and schedule program enrollment: conduct initial client intake to collect demographic information, gather client documentation, and assess program eligibility
- Provide immediate assistance and follow up for one-time needs
- Assess and address financial needs of clients; complete payment requests in WR financial system
- Provide referrals to community agencies and organizations for clients seeking services that World Relief Sacramento does not offer
- Input intake and enrollment related information into program trackers and WR enrollment databases
- Communicate effectively and in a timely manner with team members and PC IAR caseworkers about new program enrollments
- Maintain accurate and current client information in case files, program trackers, and WR databases
- Perform regular audits of case files to check for grant compliance
- Track program stories and data to report to WRS staff, grantors, other resettlement agencies, or community partners
- Participate in on-going training to improve program services and ensure compliance
- Assist team members with various projects as needed
- Participate in required department and all-staff meetings
- Provide general administrative support with special projects as needed
JOB REQUIREMENTS:
- Committed to the mission, vision, and values of World Relief
- Bachelor’s degree and/or at least 2 years’ experience in the administrative support field
- Experience with non-profit and/or community-based organizations
- Strong interpersonal, oral, and written communication skills
- Must be highly organized and extremely attentive to details
- Confident and capable of navigating across digital platforms, databases, and
- Microsoft Office Suite, particularly Word and Excel, plus Adobe Acrobat
- Proficient in English, both spoken and written
- Fluent in Dari/Pashto

- Technologically savvy with office technology, computers, and smart phones
- Strong independent problem-solving skills
- Flexible and adaptable to changing program realities
- Confident in providing instruction, setting expectations, and clearly communicating next steps
- Ability to work effectively and sensitively with people of diverse cultural, religious, and language backgrounds
- Commitment to professionalism and client confidentiality
$23 - $25 an hour
Compensation is commensurate with experience.
