Xsolla is seeking a meticulous and knowledgeable Financial Specialist with proven experience in tax forms administration to join our growing finance team. In this role, you will play a critical part in ensuring compliance with global tax regulations by managing the accurate collection, validation, and maintenance of tax documentation. You will work closely with internal stakeholders and external partners to support seamless financial operations for our global portfolio of partners. RESPONSIBILITIES
- Monitoring the validity of U.S. taxpayer status certification forms:
- Track the expiration and renewal dates of IRS Forms W-8 (e.g., W-8BEN,W-8BEN-E, W-8ECI, etc.) and Form W-9.
- Ensure timely collection and updates of the forms in compliance with IRS regulations.
- Communication with counterparties:
- Request valid U.S. tax forms from individuals and legal entities, both US residents and non-residents.
- Provide guidance and instructions on proper form completion.
- Verification of documentation accuracy and compliance:
- Review and validate the accuracy of submitted Forms W-8 and W-9.
- Verify taxpayer identification numbers (TIN), FATCA status, and other required data.
- Collaboration with internal departments:
- Coordinate with Compliance, Legal, and Accounting teams on matters related to tax reporting and withholding.
- Administration of internal tax documentation systems:
- Maintain and update internal registers of submitted tax forms and their expiration statuses.
- Organize storage and archiving of documentation in accordance with company policy.
- Monitoring changes in tax regulations:
- Stay current with updates to IRS regulations related to Forms W-8/ W-9.
- Adjust internal procedures and documentation processes accordingly.
