We are seeking an experienced and dynamic Project Manager /  Operations Manager to join our Global Experiential Marketing team. In this role, you will be responsible for ensuring our  processes in the planning, delivery and post event evaluation phases are executed by the global stakeholders.  You would also be responsible for updating, developing and implementing new processes as required.   Reporting to the VP of Experiential Marketing you will play an integral role in ensuring our high level of event planning and execution is delivered on a global scale.  

This position requires excellent project management skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Experience in marketing or event management is advantageous, but not required. Familiarity with project management  tools like Atlassian suite  (specifically Jira) and forecasting software such as Anaplan is required. 

As part of the role you will be collaborating with internal teams on the event marketing and project planning activities. Excellent communication skills and understanding of the English language is required. 

This is an office based position in our Berlin office depending on the location of the right candidate remote working in the UK or CEST timezone would be considered.  As this is a global role some out of hours working will be required.  This role would rarely require any travel. 

The ideal candidate will have experience working in the Games, Tech or Software industry and be passionate about project planning and delivery. 
Please note this is not an events manager role and no event management or event planning could be required.

RESPONSIBILITIES


    • Reporting to the VP of Experiential Marketing you will undertake tasks to support the global projects that you will lead on.  Your tasks will include but are not limited to:

    • Project Management: Lead and manage our planning process  from concept through completion, ensuring alignment with business goals and stakeholder expectations are met. 

    • Event Operations: Ensure our planning and logistics processes for logistics for global events are being followed by the teams executing and assisting where issues arise by notifying VP of Experiential Marketing.  Aim is to  ensure seamless execution and post-event analysis across all teams globally. 

    • Cross-Functional Collaboration: Work closely with internal teams (creative, production, marketing) and external vendors to ensure all elements of event projects are aligned and being followed. Where processes need to be updated or created this would also be the responsibility of the PM to write and communicate these to stakeholders once agreed by VP of Experiential Marketing.

    • Budgeting, Accounting & Forecasting: Assisting in the administration of the global event budget, track expenses, and assist the VP of Experiential marketing to forecast costs using tools such as Anaplan  and updating our cashflow. Ensure every event has up to date budgets and the event managers are following all budget and finance processes.  Assist with procurement and accounts payable tasks on the larger events. 

    • Timeline Management: Set up and maintain our detailed Jira project timeline (Event Roadmap) annually and ensure it is updated correctly by event managers.  Ensure our Event calendar is always up to date. 

    • Jira Management: Utilize Jira for task tracking, project planning, and issue resolution to maintain project visibility across teams.

    • Anaplan Management: Responsible for ensuring the Event scoring (post event analysis) is completed in collaboration with the VP of Experiential marketing and other event stakeholders.

    • Quality Control: Ensuring our process is followed on a global basis across all stakeholders.

    • Multitasking: Balance and manage multiple events simultaneously, while maintaining attention to detail and meeting tight deadlines.

    • Capturing Feedback and Competitive analysis:  Assisting event managers  to prepare feedback forms and competitive analysis reports as and when required and assisting in analyzing results and preparing reports.

    • Post-Event Analysis: Assisting the event managers in post-event debriefs, capturing notes and insights and lessons learned to optimize future event performance. Assisting in preparing data driven reports for internal stakeholders.

REQUIREMENTS

    • Excellent communication skills (written and verbal)Excellent administration skills and ability to update documents on a regular basis.
    • Demonstrable expertise in budgeting and forecasting.
    • Proven track record of successfully managing multiple projects including effectively prioritizing a significant workload.
    • Understand the need for timely information, able to meet deadlines and manage own workload and work independently. 
    • Strong work ethic and exceptional attention to quality and detail is essential Ability to solve problems and make decisions quickly and efficiently.
    • Creativity and the ability to think outside the box is a must. 
    • Ability to confidently communicate with vendors and our internal teams. 
    • Experience in the events/marketing field is beneficial.
    • Experience working with Atlassian products such as Jira and Anaplan is required.
    • Experience working with global teams in a  culturally diverse company

    • Preferred Qualifications:
    • Bachelor’s degree in Marketing, Business, Project Management, or related field.
    • 3-5 years of experience in project management or operations manager role 
    • Experience in global or large-scale event operations is a strong advantage.
    • Software Proficiency: Experience with Atlassian tools (Jira) and Anaplan or other forecasting software is required. Google suite and the standard Microsoft office software is essential.
