Vehicle Development – Vehicle Systems Engineering
As Zoox's office manager, you will organize and oversee administrative operations OR office procedures to establish and maintain organizational effectiveness, efficiency, and safety. You will be responsible for developing interoffice communications, streamlining administrative procedures, and interfacing with facilities, visitors, and support staff on various tasks. We are looking for someone who is experienced in handling a wide range of administrative and executive support-related tasks and also able to work independently with little or no supervision. This individual should be organized, flexible, and enjoy the administrative challenges of supporting an office of both local and international employees.


    • Organize and schedule meetings and appointments
    • Organize office operations and procedures
    • Provide general support to visitors which include greeting and exiting
    • Managing visitor sign in process by ensuring everyone is badged and issuing temporary badges as needed to employees and contractors
    • In coordination with our People Experience team (HR), organize orientation and training of new employees
    • Work with IT and recruiting department to onboard new employees and set up office equipment
    • Ensure office efficiency is maintained by working with appropriate departments to procure equipment and maintain office equipment
    • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
    • Support the Director with schedules, calendars, and appointments and other administrative tasks
    • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
    • Support staff in booking travel in accordance with the appropriate policies
    • Participate actively in the planning and execution of company events
    • Ensure filing systems are maintained and current
    • Monitor and maintain office supplies inventory
    • Maintain a safe and secure working environment


    • Proven office management, administrative or assistant experience
    • Knowledge of office management responsibilities, systems and procedures
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills
    • Proficient in all Google applications and MS Office
    • Knowledge of clerical practices and procedures
