VENDOR MANAGEMENT, ASSISTANT

JOB SUMMARY: 
Assist in vendor relationship strategies, systems, and processes for identified vendors, ensuring centralized program controls. Assure consistency in performance measurement, reporting, and issues management for vendor relations and contracts. 

STRATEGIC RESPONSIBILITIES
•Assist in overseeing vendors to ensure regulatory and compliance requirements and procedures are followed 
•Monitor vendor performance KPIs, escalating issues as needed
•Maintain vendor performance scorecards
•Monitor controls (e.g., SOX) related to shipments overages
•Gather qualitative feedback from cross-functional teams (e.g., Buying, Operations, Traffic) on vendor performance
•Build vendor performance reports

OPERATIONAL RESPONSIBILITIES
•Own the vendor setup process, collaborating cross-functionally as needed
•Document policies, controls, and track approval of any changes due to vendor-related updates
•Support Buying and Operations teams in resolving Returns-to-Vendor (RTVs), particularly obtaining RTV authorization, labels, and Return Authorization (RA) numbers
•Support Accounts Payable team in resolving discrepancies between purchase orders and proofs of delivery
•Support Buyers on shipments monitoring through systems, providing proactive insights on items being delivered on time
•Monitor the vendor compliance inbox, resolving and/or escalating issues
•Remain current with industry and competitive trends, acting as a subject matter specialist and identifying potential new vendors
•Assess potential new vendors’ capabilities
•Support cross-functional teams through interactions with vendors
•Identify risks associated with vendor performance, based on Fanatics SOPs, and build mitigation plans

TEAM LEADERSHIP
•Drive cross-functional collaboration for vendor management activities

EDUCATIONAL REQUIREMENTS:
•Bachelor's degree in business, supply chain management, procurement, and/or a related field preferred
•Relevant certifications (e.g., Certified Professional in Supply Management, Certified Vendor Manager) are a plus

GENERAL KNOWLEDGE, SKILLS & ABILITIES:
•Minimum of 2 years of experience in interacting with vendors and assessing performances
•Familiarity with retail industry and vendor relationships is a plus
•Strong experience in data analysis to assess performance and identify improvement opportunities
•Experience in generating and maintaining vendor performance reports and documentation
•Experience in creating visualizations and presentations
•Track record of collaborating with cross-functional teams
•Strong attention to detail and organizational skills for vendor contract management
•Strong analytical and problem-solving skills, helping to identify and resolve vendor performance issues 
•Strong teamwork and interpersonal skills
•Effective communication skills for reporting 
•Ability to assist in managing vendor relationships
•Willingness to learn and adapt to changing practices
•Ability to assist in implementing improvements and leading practices
•Proficiency in Microsoft Office
•Proficiency in data analysis, data visualization, and reporting tools
•Experience with vendor management software and tools, ERP systems, and data analytics tools
