The Delivery Enablement (DE) team supports internal stakeholders by providing a robust operational backbone across TAS, TES, OCFO, PI, IM, IB and TRS. The team includes Talent Acquisition, Human Resources, Marketing, Data Analytics, Accounting & Finance and Delivery Excellence. As Portage Point continues to scale the DE team is laser focused on scalability, quality and automation.

The Executive Assistant (EA) / Office Management (OM) role at Portage Point represents a unique opportunity for a highly-capable professional to assume a wide set of responsibilities and make a significant impact in a fast-paced, entrepreneurial environment. The right individual should be prepared to work within a small, collaborative team environment to manage discrete work streams. The EA / OM will support four to six Managing Directors in the New York office as well as manage day-to-day office operations.

Responsibilities

    • Support office management including ordering supplies, liaising with building management, greeting visitors, technology maintenance and troubleshooting and mail management
    • Support Practice Line Leaders and Managing Directors with calendar management, travel planning, event coordination, CRM (Intapp) data entry, invoicing and expense reporting
    • Support new employee pre-boarding and onboarding
    • Support employee offboarding
    • Plan New York office and firm wide events
    • Serve as the culture keeper for the office
    • Share and manage best practices
    • Support business development, talent acquisition and firm development efforts as needed 
    • Additional duties as assigned

Qualifications

    • Bachelor’s degree from a top undergraduate program
    • Located or willing to self-relocate to New York
    • Interested in a team-based culture that involves in office four days per week
    • Three plus years of experience as an EA and/or OM at an investment bank, private equity firm or top tier consultancy
    • Experience with Concor and / or Intapp preferred
    • High degree of maturity with a proven ability to interact with management, team members and external partners
    • Ability to successfully work in a small, collaborative team environment
    • High degree of maturity with a proven ability to interact with senior executives
    • Effectively communicates analysis through Microsoft Word, Excel, Outlook and PowerPoint including high-quality messaging, structure and formatting
    • Eagerness to be responsive at all times
    • Proven track-record of success in high pressure, time-constrained environments
    • Excellent written and verbal communication skills including strong e-mail etiquette
    • Top-tier organizational skills and attention to detail
    • Self-starter and entrepreneurial spirit
$110,000 - $130,000 a year
The City of New York and the State of California require Portage Point to provide compensation information for this role. This range represents the anticipated minimum and maximum base + bonus for this position based upon a good faith and reasonable estimate. The final compensation for this position will be set based on the applicant’s qualifications (education, training and/or experience related to this role), and therefore, may fall outside the range shown, depending on the circumstances. In addition to base salary, this role offers quarterly bonus payments, premium health insurance paid for by Portage Point and a generous 401(k) contribution.
